The Law Society of British Columbia’s Member Services Department is seeking a full-time permanent Member Services Representative (MSR). Under the guidance of the Manager, Member Services, the MSRs assist in managing the regulatory processes which define the practice of law in BC. The MSRs advise applicants, review and process applications, maintain membership records, ensure the annual regulatory requirements are met, and coordinate a variety of activities and projects which occur throughout the life cycle of a license to practice. The incumbent is expected to exercise considerable independent judgment and action in a complex, multi-faceted role with a deadline based need for attention to detail.
The duties of the position include:
- Responding to telephone and email enquiries from members, applicants for membership, and the public on a wide variety of departmental programs and services
- Assessing applicant credentials, education, and experience to determine their eligibility for admission, status change or indemnity coverage within set policies and procedures covered by the Legal Profession Act, the Professional Liability Insurance policy and the Law Society Rules
- Identifying issues that may impact eligibility and require further review and investigation by the Credentials team and preparing referral memos documenting the issues
- Providing feedback and advice on member status options, application decisions, and missing information or application requirements
- Processing requests for law corporation permits, law firm and LLP registration, and other employment related changes
- Responsible for coordinating a variety of detailed transactional activity including the Call and Admissions ceremonies, Bencher interview process, fee billing, refunds, and unclaimed trust funds.
- Ensuring members are in compliance with mandatory practice requirements such as completion of Continuing Professional Development Requirements and Annual Practice Declarations and determining when to refer matters of non-compliance to Manager.
- Verifying member information on record and the authenticity of lawyer signatures in order to prepare Certificates of Standing and Authentication.
- Ensuring that the records and information on the centralized member database for the organization and the public is accurate and up-to-date.
- Performing other related duties and participating in special projects as assigned by the Manager.
Qualifications
- Completion of a post-secondary education, preferably a Bachelor’s degree in a field related to administration and regulation, or a Paralegal.
- Minimum four years of office experience, working with legislation, bylaws, or policies and procedures in a legal, government or regulatory environment preferred.
- Excellent customer service and conflict management skills. Demonstrated ability to communicate in a clear and logical manner
- Excellent time management and writing skills.
- Professional judgment and strong attention to detail.
- Advanced knowledge of Microsoft Office and databases.
