Job Description
Department, Unit or Project Description:
The Office of the Dean and Vice-President, Faculty of Health Sciences, works closely and collaboratively with other departments, faculties and universities as well as external companies and institutions to remain on the leading edge of global health and to maintain and project a professional commitment and responsibility to excellence, integrity and respect within health sciences.
Job Summary:
Reporting to the Manager, the Administrative Assistant provides administrative support for the university and clinical work of the Dean & Vice-President, FHS.
Accountabilities:
- Coordinate the administrative duties associated with overseeing the Dean’s medical practice. This includes leading the implementation of new systems, privacy processes and clinical administrative procedures.
- Working with the Manager, help to implement strategies for increased efficiency regarding the Dean’s medical practice.
- Collaborate and communicate with medical professionals, patients and other stakeholders in order to achieve optimal patient care.
- Provide first point of contact for patients and represent the intentions of the Dean in terms of communications with patients via phone, fax and email.
- Maintain confidentiality and discretion regarding all patient-related and university information.
- Working with the Manager and the team, help to support the function of a busy administrative office
- Other duties as assigned by the Dean and the Manager that support university, Faculty and team goals and processes.
Qualifications:
Education: Degree or diploma in Business of Office Administration or Equivalent
Experience: 3-5 year’s office administration experience in a high-level and fast-paced environment

- Proven ability to exercise initiative, sound judgement and professionalism

- Advanced computer skills for word-processing, spreadsheets, databases
- Knowledge of Microsoft Office, Document Locator, Meditech and other hospital and university systems and processes
