Your opportunity: The Program Assistant is part of a small team working closely with the Associate Dean, Academic in supporting the academic programs of the Faculty. This involves engaging with students, faculty members, Program Directors, and other administrative team members. Much of the work is tied to the academic cycle and is predictable, but the team also helps with additional requests supporting the academic mission and programs. Your responsibilities will include:
- Maintaining course information on student information systems
- Maintaining information on digital platforms
- Gathering materials for accreditation and/or program review according to requirements
- Fostering cooperative working relationships with a wide variety of internal and external contacts
- Determining logistical details and activities for events and/or programming
- Updating and maintaining records
- Collating and organizing data for various reports
- Handling expenses for events
Essential Qualifications: - Bachelor’s degree or acceptable combination of equivalent education and experience.
- Minimum 3 years of related experience.
- Providing administrative support for academic programming.
- Coordinating schedules and arranging meeting logistics.
- Drafting correspondence.
- Providing preliminary explanation of policies and procedures, and program requirements.
- High level of proficiency with Office 365 environment including: Outlook, One Drive, SharePoint, Forms, Word, Access, PowerPoint, and Excel.
- General proficiency with standard office and audio visual equipment.
- Excellent communication (verbal and written) skills, including accurate grammar, spelling and proofreading.
- Knowledge of at least one of ROSI/Curriculum Management/ Course Information System.
Assets (Nonessential): - Knowledge of Quercus (Canvas learning management system).
- Experience providing committee support.
- Experience taking minutes.
