Mission of Executive Assistant: As the Executive Assistant, your mission is to streamline and enhance the client's efficiency by being a proactive, detail-oriented, and a forward-thinking partner. Acting as a strategic support pillar, you will focus on optimizing the client's time for meaningful connections, creative endeavors, and collaborations. The ideal candidate will stay one step ahead, acting as a reliable filter for tasks and responsibilities, allowing the client to concentrate on scaling the business.

Your responsibilities include:

  • Project Management:
    • Summarize and update the team on activities and deadlines.
    • Anticipate potential issues and stay aware of ongoing projects.
    • Host and prepare agendas for meetings, ensuring progress is communicated effectively.
  • Email Management: 
    • Efficiently manage the client's email inbox and responding to emails on behalf of the client, ensuring timely and appropriate actions.
    • Learn and write in the client's voice for effective communication.
  • Calendar Management:
    • Organizing schedules, meetings, event appointments, workshops, and reminders.
    • Utilize color-coding templates for organization.
  • Podcast Management:
    • Reach out and schedule guests for podcasts.
    • Facilitate the client's participation in other podcast opportunities.
  • Social Media Management:
    • Manage LinkedIn outreach to coaches and events.
    • Identify key connections to create impactful campaigns.
  • Speaking Engagements:
    • Coordinate seamless logistics for speaking events, manage travel arrangements, and create impactful presentation materials.
    • Develop and organize workshop worksheets, ensuring a smooth participant experience.
    • Execute timely follow-ups to maintain connections post-events.
    • Collaborate with speaker bureaus to secure diverse speaking engagements, expanding the client's platform presence.
  • Personal Events:
    • Remind the client of birthdays, anniversaries, and other personal commitments.
    • Act as a sounding board for the client's ideas and discussions.
  • Processes/Systems:
    • Establish and maintain predictable systems for smoother operations.

In your first 30 days on the job:

Here's an outline of what you can expect in your first 30 days on the job as an Executive Assistant:

First 30 days:

  • Daily 1-on-1 meetings with the client to provide personalized guidance and support during your initial onboarding phase. 

Throughout your first 30 days, you will be provided with the necessary support and resources to ensure your success in our dynamic and collaborative environment, focusing on your seamless integration and contribution to our global recruitment initiatives.

Qualifications:

  • Possesses strong English communication skills, both written and oral
  • Proven experience as a high-level Executive Assistant or in a similar role supporting C-level executives.
  • Experience with project management, LinkedIn outreach, and podcast management. 
  • Proficiency in ClickUp is a plus.
