A Workflow Coordinator plays a vital role in the organization, overseeing and managing the flow of work within the company. Key responsibilities include setting project timelines, assigning tasks, and ensuring that all work is completed efficiently and on schedule.
They are the essential gears that keep your business running smoothly.
Required Skills & Experience:
* 5+ years’ experience in the Travel/Tourism industry
* You worked in Tour Operator / DMC / Travel / Hotel Environment
* Excellent attention to detail
* High degree of organizational skills & attention to detail
* Fluent in written and spoken French and English
* Excellent communication and interpersonal skills
* Ability to work under pressure and to meet deadlines
* Confident knowledge of Microsoft Word, Excel and Outlook
* Experience with Travel management systems
* Passion for and comprehensive understanding of Portugal and Spain
* Strong skills in using and manipulating data (OTA platforms and reservations systems – knowledge of Taylor made Product a plus!)
* Ability to perform and prioritize multiple tasks
* Adaptable, always growing and improving
* Not afraid to make mistakes, and accountable to learn from them
* Recognizes the importance of teamwork, seeks win-win outcomes when collaborating with others
* Open to new ideas, and willing to experiment
* Check all suppliers contracts are up to date, maintained, and investigate any discrepancies
* Entering a range of data, geo-tree of destinations, destination data, including contract rates, conditions and allotment into the in-house database.
* Manage and maintain Software’s product information
Key responsibilities of a knowledgeable Workflow Coordinator:
* Overseeing Workflow Processes: A Workflow Coordinator ensures all tasks are assigned and completed on time. They monitor project progress and make sure everything runs smoothly.
* Identifying Bottlenecks: They identify and resolve any issues that may slow down the workflow. This might involve troubleshooting technical issues or addressing staff concerns.
* Implementing Workflow Improvements: They are always looking for ways to make processes more efficient. This could mean introducing new software or streamlining communication channels.
* Training Staff: Workflow Coordinators train staff on new processes and procedures. They ensure everyone understands their roles and responsibilities.
* Reporting: They generate regular reports on workflow efficiency. These reports help management make informed decisions.
* Collaborating with Other Departments: They work closely with other departments to ensure everyone is on the same page. This could involve coordinating with sales, marketing, or IT.
* Ensuring Compliance: They ensure all workflow processes comply with company policies and industry regulations.
* Managing Workflow Tools: They manage and maintain any tools or software used in the workflow process.
* Setting Workflow Goals: They set and track goals for workflow efficiency. These goals help keep the team focused and motivated.
* Maintaining Documentation: They keep detailed records of all workflow processes. This documentation is crucial for training new staff and for reviewing processes.
