Job Description - Receptionist

The hiring organisation is a dynamic and client-focused fitness facility, dedicated to providing exceptional care and support to its clients.

Key Responsibilities:

  • Client Check-In: Greet and check in clients upon arrival, ensuring a smooth and welcoming process.
  • Consent Forms: Verify that all clients have completed the necessary consent forms before their appointments.
  • Billing and Invoicing: Generate and issue receipts or invoices as required, ensuring proper billing processes are followed.
  • Session Assistance: Assist the Principal Therapist with Active Release Technique (ART) sessions when needed, including data entry of notes for each client’s session.
  • Client Enquiries: Answer enquiries from clients and potential clients using the company phone, providing accurate information and assistance.
  • Record Management: Maintain organized records of client information and consent forms, ensuring compliance with privacy regulations.
  • Appointment Reminders: Ensure all appointment reminders are sent 24 hours in advance to clients.
  • Scheduling: Assist in managing appointment scheduling and reminders, optimizing the flow of clients throughout the day.
  • Ad Hoc Duties: Handle ad hoc duties as needed, supporting the overall operations of the fitness facility.
  • Atmosphere: Foster a positive and professional atmosphere in the reception area, contributing to an excellent client experience.

Key Skills and Qualifications:

  • Communication Skills: Strong verbal and written communication skills are crucial for interacting with clients, answering inquiries, and providing clear instructions.
  • Interpersonal Skills: Excellent interpersonal skills are essential for building rapport with clients, creating a welcoming atmosphere, and resolving any concerns professionally.
  • Multitasking: Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Attention to Detail: Meticulous attention to detail is vital for accurate data entry, record-keeping, and appointment scheduling.
  • Technical Proficiency: Competency in using scheduling apps such as Clinic Management App and WhatsApp/Telegram.
  • Fast Learner: Eagerness to learn and adapt quickly.
  • Customer Service: A genuine desire to provide excellent customer service, going the extra mile to ensure client satisfaction.
  • Patience and Empathy: Patience and empathy in dealing with client inquiries and resolving issues.
  • Team Player: Ability to work effectively as part of a small team, supporting the Principal Therapist and contributing to a positive work environment.
  • Availability: Must be willing to work according to the Principal Therapist's appointment timeslots, including weekends, as this role requires on-site presence at the gym.
  • Maturity and Responsibility: Mature and responsible, with the capability to reply to clients professionally.
  • Social Media Savvy: Proficient in social media, as you will assist with Instagram/TikTok LIVE sessions, including recording and reading out questions for the Principal Therapist.
