Reception and Office Support
• Perform general office administration including but not limited to pantry re-stocking supplies, space and office equipment management
• Man the reception desk including but not limited to answering and directing calls from general telephone line, and assisting visitors/guests to the office
• Attend to candidates coming for interviews and send them to the necessary meeting rooms
• Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
• Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
• Office admin support for business meetings, which includes preparation of meeting material, room booking, restaurant reservation etc.
• Receive, sort and distribute mails
• Disseminate information provided by the building management
• File and prepare Monthly Office Expenses for payments
HR Administrative Support
• Provide administrative support in areas such of employee movement activities, onboarding/off-boarding, orientation and general admin queries.
• Support and manage all immigration (entry visa, visa application, etc.) and work pass (application, renewal, updates and cancellation of EP, DP, LOI) matters
• Coordinate onsite and offsite office meetings and social events including space reservations, catering and logistics
• Coordinate with HR BP team to prepare all onboarding items (e.g. welcome bags, lanyards, individual employee ID card) for all new joiners
• Coordinate and arrange organization event (e.g. New Joiners lunch with senior management)
• File and prepare Ad-Hoc Expenses that are generated by the HR team for the employees
• Any other ad hoc duties as per assigned

• Ability to multi-task effectively and comfortable to work in a fast pace environment
• Outstanding communication skills to collaborate and influence with both internal and external key stakeholders.
• Strong attention to detail and highly organized
• Pro-active problem solver and superior follow-through
• Proficiency in Microsoft Office (Word, Excel, PowerPoint)
