**Position Overview:** We are seeking a dedicated and resourceful Personal Assistant to join our team on a part-time basis. This role is perfect for individuals who are driven, proactive, and possess excellent organizational skills. As a Personal Assistant, you will be responsible for managing a variety of administrative and support tasks that are crucial to the efficient functioning of our leadership team.


**Key Responsibilities:** - Provide comprehensive administrative support to executive team members, including calendar management, scheduling meetings, and prioritizing tasks effectively. - Prepare and coordinate travel arrangements, including flights, accommodations, and itineraries, ensuring cost efficiency and adherence to company policies. - Draft, edit, and proofread correspondence, reports, and presentations with a high degree of accuracy and professionalism. - Manage incoming communications, including emails and phone calls, ensuring timely responses and appropriate prioritization of matters requiring immediate attention. - Organize and maintain electronic and physical files, ensuring easy retrieval and confidentiality where required. - Conduct research and compile data as necessary to assist in decision-making processes for various departmental initiatives. - Assist in the coordination and execution of special projects as directed, ensuring deadlines and objectives are met. - Foster strong relationships with internal teams and external stakeholders to facilitate effective communication and collaboration. - Support financial processes, including budget tracking and invoice management, ensuring timely approvals and payments. - Attend meetings as requested, taking minutes, and following up on action items to ensure accountability.


**Requirements:** - A minimum of 4 years of experience in a personal assistant or administrative support role, preferably within a corporate environment. - Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools. - Excellent verbal and written communication skills in English; proficiency in French or German is a plus. - Demonstrated ability to handle sensitive information with discretion and maintain confidentiality. - Proven track record of decision-making and negotiation skills in a fast-paced environment. - Strong organizational skills with a keen attention to detail and the ability to manage multiple priorities simultaneously. - A driven and resourceful approach to problem-solving, with the initiative to proactively identify areas for improvement and implement effective solutions.
