Kinder Morgan, a leading energy infrastructure company, is seeking a dedicated and motivated Secretary to join our team in Zurich. In this part-time role, the ideal candidate will support various administrative functions across the organization, contributing to our high-performance culture while fostering strong internal and external relationships. ### **Key Responsibilities:**


- **Administrative Support:** - Manage and prioritize daily administrative tasks including scheduling appointments, organizing meetings, and maintaining calendars for senior staff. - Prepare and distribute meeting agendas, minutes, and supporting documents to ensure effective communication within teams. - Handle incoming and outgoing correspondence, including emails, phone calls, and postal mail, in a professional and timely manner.


- **Document Management:** - Assist in the preparation of reports, presentations, and other critical documents utilizing software such as Microsoft Office Suite (Word, Excel, PowerPoint). - Maintain an organized filing system, ensuring both physical and digital documents are up-to-date and easily accessible for all team members.


- **Analysis and Reporting:** - Conduct preliminary analysis of data related to projects and operational efficiency, offering insights to management as required. - Compile regular performance reports and assist departments in evaluating their objectives and performance metrics.


- **Communication:** - Serve as a liaison between departments, facilitating communication and cooperation, and strengthening inter-departmental relationships. - Engage with external stakeholders, clients, and vendors to coordinate meetings and facilitate smooth operations.


- **Office Management:** - Oversee office supplies inventory to ensure there is always an adequate supply for workforce productivity. - Contribute to creating a positive and dynamic working environment by cultivating team spirit and acting as a point of contact for staff inquiries.


### **Requirements:**


- **Education and Experience:** - Minimum of 2 years of relevant work experience in administrative support or a similar role. - High school diploma or equivalent; relevant certifications or ongoing education in business administration is advantageous.


- **Skills:** - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Familiarity with office management systems and procedures. - Strong analytical skills to gather and interpret data effectively. - Excellent presentation skills to convey information clearly and professionally.


- **Personality Traits:** - Energetic and motivated to take initiative in supporting team activities. - Adaptable and flexible: able to thrive in a fast-paced environment and respond quickly to changing priorities.


- **Soft Skills:** - Strong interpersonal communication skills, both verbal and written. - Ability to work collaboratively as part of a team while also being capable of managing tasks independently. - Problem-solving mindset with a strong attention to detail.
