Job Description - Marketing & Communications Coordinator - Part-Time

General Description

The Marketing & Communications Coordinator sits within the Admissions, Marketing & Communications team. The Coordinator supports all Marcoms activities, leading the implementation of publications, CRM management of regular community bulletins, and social media.  This is a part-time role (80%).


  • Develop and implement school-wide communications for parents, staff and community and provide analysis and recommendations for continuous improvement.
  • Produce/support communication material and messaging from within the Admissions, Marketing, Communications, Development and Fundraising teams. 
  • Support school-wide campaigns and mailings to deliver consistent messaging.
  • Edit, proofread and sign-off communications materials.
  • Support leadership in important communications, for example, IB/AP result comms during the summer.
  • Support the Marketing & Communications manager with online and offline marketing collateral.
  • Implement all external email communications through our CRM, liaising closely with the Website Coordinator and wider team.


  • Develop and lead the school-wide publications plan. Implement and create publications (magazine, annual report, divisional handbooks, and various other publications when required), coordinating content, design and print, and adhering to ISZL’s brand guidelines.
  • Commission articles, edit, proofread and liaise with designers for all publications to meet print deadlines.
  • Liaise with all divisions and faculties and the Admissions, Communications and Marketing teams to ensure all stakeholders are involved.
  • Coordinate and produce the online departing staff and new staff web pages, liaising with HR for names. For departing staff each year, coordinate with colleagues for written tributes. 
  • Liaise the production of ISZL’s annual “Season’s Greetings’” Card with the Director’s PA.

Photography & Videography

  • Organise photoshoots with professional photographers, including organising schedules and writing briefs.
  • Ensure the availability of quality images for external and internal use, including organisation and maintenance of the image library 
  • Deliver and support research requests from schoolwide stakeholders
  • Film, edit and produce short-form video content with video editing tools to support marketing campaigns where required.

CRM and bulletins

  • Coordinate the CRM lists, groups and tags for various communication groups such as parents, community, faculty etc. 
  • Create, send and analyse regular email bulletins to our parent community, and other groups.
  • Work with the marcoms manager to achieve a weekly frequency with personalised content using CRM functionality and to automate processes where possible.


  • Collaborate with the Marketing & Communications Manager and Website Coordinator to update the ISZL website where required. 
  • writing SEO optimized Blog posts with the support of the Marketing/Comms Manager?


  • Provide media briefings and create press releases for the Director of Admissions, Communications and Marketing with media and PR requests from third parties.
  • Ensure adherence to the External Media Policy and actively assist staff in following the policy.
  • Produce media press releases when required.

Social Media 

  • Work with the Marketing & Communications Manager to ensure continuous development and implementation of an integrated digital social media strategy, aligned with ISZL’s goals, mission and vision.
  • Ensure adherence to the school's social media policy.
  • Generate, edit, publish and share engaging content daily on all ISZL social media channels, communicate with followers, respond to queries promptly and monitor customer reviews.
  • Monitor engagement across social media while providing and assessing results from analytics

Role within the wider team

  • Maintain open communication and close collaboration within the marcoms team, to ensure processes are implemented efficiently and aligned across stakeholders.
  • Assist with and/or attend events and projects, including events on evenings and weekends, as required, and may include short-distance travel
  • Responsible for other duties, as assigned

Required and Preferred Qualifications

  • A graduate with 2 - 4 years in a marketing and/or communications department. 
  • A highly detailed communicator with editing, proofreading and writing skills.
  • Experience working with CRM systems and a detailed understanding of the technical elements of CRM system coordination.
  • Ability to distil complex information into clear, concise prose, while being mindful that many readers may not be native English speakers.
  • Exceptional organisational skills, attention to detail and highly reliable.
  • Ability to work well under pressure and juggle competing projects from different stakeholders with diplomacy and assertiveness
  • Deadline-oriented with the ability to prioritise competing tasks and work on multiple projects in a highly engaged team environment
  • Excellent communication skills (both written and verbal) in the English language (German is an added value)
  • Excellent interpersonal skills including the ability to maintain confidentiality.
  • Self-starter with a demonstrated ability to work in a team to achieve common goals. 
  • Passionate about continuous learning and professional development.
  • Highly professional and high ethical standards.
  • Ability to work evenings and weekends as needed in support of the team’s initiatives and events
  • Willingness to work outside normal office hours and school vacation, from home, when the situation demands it.
