Job Description - Personal Assistant to CEO

The Personal Assistant to the CEO provides high-level administrative and logistical support to the Chief Executive Officer. This role requires a highly organized, proactive, and discreet individual with excellent communication, interpersonal, and problem-solving skills. The ideal candidate will possess a strong work ethic, be able to thrive in a fast-paced environment, and maintain strict confidentiality. 

Key Responsibilities

  • Executive Support:
    • Manage the CEO's schedule, including meetings, appointments, travel arrangements, and events.
    • Screen and prioritize incoming calls, emails, and correspondence.
    • Prepare and disseminate meeting materials, presentations, and reports.
    • Conduct research and gather information as requested by the CEO.
    • Handle sensitive and confidential information with the utmost discretion.
  • Travel Arrangements:
    • Coordinate all aspects of domestic and international travel, including flights, accommodations, visas, and ground transportation.
    • Assist with travel itineraries and ensure smooth travel logistics.
    • Manage travel expenses and reimbursements.
  • Communication & Coordination:
    • Communicate effectively with internal and external stakeholders, including senior executives, clients, and vendors.
    • Build and maintain strong relationships with key contacts.
    • Act as a liaison between the CEO and other departments within the company.
  • Administrative Support:
    • Manage office supplies and equipment.
    • Maintain accurate records and files.
    • Assist with special projects as assigned.
  • Language Proficiency:
    • Fluency in Chinese is essential for effective communication with Chinese-speaking clients and colleagues.
    • Excellent written and verbal communication skills in English.

Qualifications

  • Bachelor's degree or equivalent experience.
  • Minimum 3 years of experience as a Personal Assistant to a senior executive, preferably in a fast-paced environment.
  • Thai nationality.
  • Proven experience in managing complex schedules and travel arrangements.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, time management, and prioritization skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Fluency in Chinese is mandatory.
