The Personal Assistant to the CEO provides high-level administrative and logistical support to the Chief Executive Officer. This role requires a highly organized, proactive, and discreet individual with excellent communication, interpersonal, and problem-solving skills. The ideal candidate will possess a strong work ethic, be able to thrive in a fast-paced environment, and maintain strict confidentiality.
Key Responsibilities
- Executive Support:
- Manage the CEO's schedule, including meetings, appointments, travel arrangements, and events.
- Screen and prioritize incoming calls, emails, and correspondence.
- Prepare and disseminate meeting materials, presentations, and reports.
- Conduct research and gather information as requested by the CEO.
- Handle sensitive and confidential information with the utmost discretion.
- Travel Arrangements:
- Coordinate all aspects of domestic and international travel, including flights, accommodations, visas, and ground transportation.
- Assist with travel itineraries and ensure smooth travel logistics.
- Manage travel expenses and reimbursements.
- Communication & Coordination:
- Communicate effectively with internal and external stakeholders, including senior executives, clients, and vendors.
- Build and maintain strong relationships with key contacts.
- Act as a liaison between the CEO and other departments within the company.
- Administrative Support:
- Manage office supplies and equipment.
- Maintain accurate records and files.
- Assist with special projects as assigned.
- Language Proficiency:
- Fluency in Chinese is essential for effective communication with Chinese-speaking clients and colleagues.
- Excellent written and verbal communication skills in English.
Qualifications
- Bachelor's degree or equivalent experience.
- Minimum 3 years of experience as a Personal Assistant to a senior executive, preferably in a fast-paced environment.
- Thai nationality.
- Proven experience in managing complex schedules and travel arrangements.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational, time management, and prioritization skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Fluency in Chinese is mandatory.
