Job Description - HR Assistant

Roles and responsibilities

The HR Assistant is a hands-on rolethat provides HR support on site. The role is critical in executingpeople initiatives, providing great internal employee support, anddriving HR functional excellence and process improvement. Theyprovide answers to questions regarding a broad range of humanresources, benefits, and payroll topics and engagement. They managecases, projects, and partner relationships with varying degrees ofcomplexity. They adhere to strict confidentiality standards. Workis performed within Service Levels.

Key jobresponsibilities

Responds quickly andaccurately to employees'queries.

Ensures that employee documentationis complete and accurate.

Acts as a SubjectMatter Expert for on site people issues, escalates asappropriate.

Is the primary owner responsiblefor supporting managers through attendancetracking.

Partners with payroll teams toensure accurate and timely payrollinputs.

Provides training and guidance onpolicies, processes, and systems to customers and teammembers.

Creates and distributes standardcommunications and HR reports.

Performsnecessary deep dives on issues.

Leads processimprovement initiatives.

Develops suggestionsfor improvements to maximize value ofresources.

Performs project tasks asdirected.

Manages overall employee engagementprograms.

BasicQualifications

All other dutiesand responsibilities as needed.

  • Knowledge of Microsoft Officeproducts and applications (especially Excel)

PreferredQualifications

  • 1+ years of human resourcesexperience

Desired candidate profile

1.CommunicationSkills

  • Strong verbaland written communication abilities for clear interaction withemployees, management, and externalparties.
  • Ability to explain HR policies,procedures, and benefits to staff.

2.Organization and TimeManagement

  • Ability tomanage multiple tasks, prioritize duties, and meetdeadlines.
  • Strong attention to detail inmanaging documents, records, and employeefiles.

3.Confidentiality andDiscretion

  • Understandingthe importance of handling sensitive and private informationrelated to employees and companyoperations.
  • Ability to maintain confidentialitywith personal and company data.

4.Knowledge of HR Software andTools

  • Familiarity withHR management systems (HRMS), payroll systems, applicant trackingsystems (ATS), and other HR tools.
  • Proficientwith Microsoft Office Suite, especially Excel, Word, andPowerPoint.

5.Recruitment and OnboardingSupport

  • Assist in jobpostings, resume screening, and schedulinginterviews.
  • Help in the preparation ofonboarding materials and guiding new hires through the orientationprocess.

6. Payroll andBenefitsAdministration

  • Understandingof payroll processes and assisting in timesheet management andbenefits enrollment.
  • Keeping track of employeeleave, attendance, and other payroll-relateddetails.

7. EmployeeRelations andSupport

  • Addressingemployee queries related to HR policies, payroll, benefits, andcompany guidelines.
  • Supporting initiatives thatimprove workplace culture and employeesatisfaction.

8. LaborLaw Knowledge

  • Basicunderstanding of labor laws and regulations to ensure compliancewith relevant policies.
  • Keeping up-to-date withchanges in labor law and workplace safetyregulations.

9.Problem-Solving and ConflictResolution

  • Ability tohelp resolve conflicts or misunderstandings between employees andmanagement.
  • Managing minor employee disputesand providing solutions when issuesarise.

10. RecordKeeping and DataEntry

  • Managing andmaintaining accurate employee records, documentation, andfiles.
  • Ensuring compliance with legalrequirements for documentretention.

11. CustomerServiceOrientation

  • Providingexcellent customer service to both internal employees and externalcandidates or clients.
  • Handling inquiries withprofessionalism and empathy.
