**Job Description:**


Cruise Automation is seeking a motivated and organized Online Secretary to join our dynamic team in London. In this part-time role, you will serve as a vital resource in ensuring the smooth running of our day-to-day operations and supporting various departments within the organization. As an Online Secretary, you will be responsible for a variety of administrative tasks while presenting yourself as an enthusiastic representative of our brand.


**Key Responsibilities:**


1. **Administrative Support:** - Manage and organize digital files, records, and documents, ensuring efficient storage and retrieval. - Prepare, format, and edit correspondence, reports, and presentations in collaboration with various teams. - Schedule appointments, meetings, and travel arrangements for team members, ensuring all logistics are handled promptly.


2. **Communication Management:** - Act as the first point of contact for internal and external communications, filtering inquiries and escalating issues as necessary. - Maintain and monitor the company's email inbox, responding to queries and forwarding messages to appropriate personnel. - Facilitate effective communication among team members and departments, ensuring that important messages are conveyed timely.


3. **Project Coordination:** - Assist in managing projects by tracking timelines, deadlines, and deliverables, providing status updates as necessary. - Collaborate with team members on creative projects, offering input and suggestions to enhance their effectiveness. - Keep track of ongoing initiatives and follow up with concerned departments to ensure tasks are completed on time.


4. **Meeting and Event Organization:** - Coordinate logistics for virtual and in-person meetings, including setting up necessary technology and preparing meeting materials. - Assist in organizing team-building activities and company events, both digitally and in-person.


5. **Continuous Improvement:** - Identify opportunities for process improvements within administrative functions and propose effective solutions. - Stay updated with trends in administrative technology and suggest tools that can optimize company operations.


**Requirements:**


- **Education:** A degree in Business Administration or a related field is preferred but not required. - **Experience:** Minimum of 3 years of experience in an administrative or secretarial role, preferably in a fast-paced environment. - **Technical Skills:** Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello). - **Personality Traits:** - Resilient: Ability to cope with challenges and adapt to changing circumstances. - Independent: Self-motivated and capable of working autonomously while managing multiple projects.


**Soft Skills:** - Excellent presentation skills, both written and verbal, with a keen eye for detail in all communications. - Creative thinker with the ability to generate innovative ideas effective in supporting team projects.
