The Inventory Coordinator Assistant supports the Inventory Coordinator in the daily execution of inventory-related tasks. This includes assisting with product inspections, cycle counts, data entry, and ensuring accurate inventory records are maintained in Business Central. The assistant helps monitor key metrics, supports outbound logistics, and contributes to compliance efforts. This role works closely with the production, delivery, and sales teams to help track raw material usage, flag inventory discrepancies, and maintain appropriate stock levels across all areas.
Learn the ins and outs of D365 Business Central and manage the system as a whole while also assisting in monitoring the tasks of direct/dotted line reports
Perform product inspection for defects, batch numbers, and correct labeling
Utilize information systems to process reports and forms and maintain the finished inventory as required:
EOM Reports
Aging Inventory Reports
Accounts Receivable (checks)
Sales & Distribution Report
Assist in the organization of the Timeless Select Route Spreadsheet (work closely with the Inventory Coordinator)
Assist in all audits and cycle counts of the finished product
Work directly with the inventory coordinator to monitor and maintain current inventory levels.
Process purchase orders as required or requested by the inventory coordinator or Operations Manager.
Assist in tracking orders and investigating problem areas.
Maintain the database, perform a physical inventory count, and reconcile actual stock count to computer-generated reports.
Analyze the usage of raw materials and output of finished products while examining the levels of supplies and raw materials to determine shortages (shared responsibility with production)
Assist in all daily deliveries and shipments, while maintaining the accuracy of outbound orders, and maintain compliance with state regulations.
Be proactive in advising key players of any inventory concerns.
Assist in ensuring all EOM reports for the previous month are sent to the controller by the 3rd of the following month.
Cross-department work will sometimes be required within inventory and production.
Possibility of required overtime.
Knowledge of inventory and Q/C Q/A operation and regulatory guidelines.
Ability to perform calculations.
Ability to work within established warehouse procedures and practices.
Strong organizational skills and attention to detail.
Ability to troubleshoot issues effectively.
Full understanding of the state compliance and Metrc.
Ability to work independently or in a team setting to solve problems positively across departments and interact professionally as a team player with all levels of contacts, internal and external.
Ability to learn and manage ERP systems.
Basic understanding of the Leaf Trade platform.
Excellent attendance record required.
Minimum 2 years experience with inventory and audits reports.
Preferred experience in ERP System management.
Preferred 2 years experience in a manufacturing facility of a pharmaceutical or Medical Marijuana facility, Medical Device, or Allied Health Science.
Leaf Trade platform knowledge is a bonus, but not necessary.
Minimum of High School Diploma/GED with work experience.
Bachelor’s degree (Preferred)
Must be twenty-one (21) years of age
Must consent to a criminal background check performed by the Company and/or state officials.
