    Job Description

    EXPECTATION OVERVIEW

    To be strong contribute to complete the brand mission: work as part of a team in the next 3 years to:

    • FEDERATE with all departments to further solidly support front stage’ ambitious target achievement.
    • TRANSMIT Guerlain’s DNA, uniqueness, and know-how to all partners, colleagues & Clients.

     

    Reporting to the Brand General Manager, the Brand Operation Executive will

    • To provide logistical and liaising assistance to the brand to ensure proper implementation of all departments in Brand
    • Be the master of completed order process: notification, logistic from Singapore to Vietnam warehouse & counters.
    • Collaborate with regional team & Guerlain VN team on order placement (basic & launch), campaigns & FAST system.
    • Proactive in WinPOS, Win CRM to strongly support retail team & MKT.
    • Handle ALL sales dashboard requested by regional team & BM

     

    MAIN TASKS

    SALES & PERFORMANCE REPORT ANALYSIS

      • Daily Sales Monitoring, Weekly Sell-through, Monthly Sales Performance, Launch Report for key novelties, and other reports needed for business reviews and budget forecasts
      • Actively coordinate with Counter Managers to monitor daily sales performance and provide feedback to the Retail Team / Brand Manager.
      • Assist the Retail Team / Brand Manager in generating store performance reports (Sell out/ service / Special Promotions, On Counter Activities, Animations, etc.) for monitoring and commission/incentive computation.
      • Provide stock take report quaterly (sellables / POSM / cabin) to monitor the stock level, help to manage the quantity and quality stocks in WH & in Store
      • Issue and analyse logistics reports.
      • Store operation budget & management
      • DATABASE management both CLIENTS & BEAUTY ADVISORS
      • Week/Month/Quater/Year business report  

     

    STOCK MANAGEMENT:

      • Master of process of stock moving: Kerry WH / other counters – transport – import to POS
      • Facilitate quarterly stock count and inventory alignment in the stores.
      • Be responsible for Stock picture analysis to propose appropriable push/clearance plan for Retail team & BM.
      • Coordinate Purchase Order and delivery of products and POSM to the stores with consolidate all store orders, transfer and pull-out requests.
      • Coordinate all store orders, transfer and pull-out requests
      • Coordinate Purchase Order and delivery of products, Sample, gifts and POSM to the stores
      • Monitor product availability and coordinate with relevant teams to ensure stock levels are adequate to fulfil customer orders
      • Working with Takashimaya to ensure we have right assortment at the right quantity at the right place at the right time
      • Liaise with Kerry to ensure timely picking/packing/labelling and delivery of orders
      • Cross check Testers/cabin products by empty packages exchanged
      • SKU registration for retailers (for novelties)
      • Help to support BCs team.

     

    BRAND ADMIN ACTIVITIES:

      • Be in charge of the system update for all Purchase Orders
      • Be in charge in collecting monthly bills/claims from store operating activities.
      • Be in charge in store/office stationery supplies
      • Register vendor and manage quotations to be in line with guideline.
      • Create Capex (non Merch/MKT) by template
      • Liaise with external suppliers to manage the process of supplying specific non-sellable items
      • Expense PO raising
      • Processing credit note, debit note, returns
      • Paperwork management (contracts/written SOP) and filing
      • Quartely Product allowance preparation & get validation
      • BGM’s business claims

    ·Miscellaneous : To support retail operation & Brand team  in any requests.

     

    WINPOS & CRM

      • Capable of understanding POS system & CRM in both database & reports
      • Full training with IT regional to be the key coordinator between IT & Guerlain VN team

    Qualifications

    QUALIFICATIONS & SKILLS 

    • Minimum 2 years of successful track record in the Sales support department & data processing
    • Master in excel & project management is a plus
    • Business Sense and Analytical Skills
    • Competency in English is a must
