Job Description:

  • Role title: Administration Officer – The O’Brien Centre Reception

  • Role type: Permanent Part-Time (20 hours per week), working 5 days per fortnight (2 days one week and 3 days the next week)

  • Role grade: Administration Officer Level 2, (Year1-2)

  • Department and location: Inner City Health, St Vincent’s Hospital, Darlinghurst

  • Salary: $66,608.03 - $68,817.27 (pro-rata) + super +salary packaging

About the role

  • Be the welcoming first point of contact for patients, visitors and stakeholders, providing compassionate and professional customer service to some of our community’s most vulnerable and disadvantaged individuals.

  • Manage the busy reception desk, including patient check-in, appointment enquiries, directing visitors and handling a high volume of incoming calls.

  • Respond to a broad range of enquiries, exercising sound judgement and escalating matters to the appropriate clinical, nursing, medical or administrative staff when required.

  • Become a key point of coordination across diverse clinical areas by managing referral pathways, service processes and administrative procedures that support high-quality patient care

  • Provide accurate and efficient administrative support while maintaining confidentiality, sensitivity and a person-centred approach in a complex healthcare environment.

 

About you

  • You have a calm, compassionate and non-judgemental communication style, with the ability to engage respectfully with patients, visitors and carers from diverse backgrounds, including those experiencing distress, vulnerability or social disadvantage.

  • You are passionate about delivering exceptional customer service and possess strong verbal and interpersonal communication skills, enabling you to confidently manage enquiries both in person and over the phone.

  • You are proficient in using Microsoft Office, email and electronic health information systems, with the ability to maintain accurate records and handle confidential information appropriately.

  • You have excellent organisational, time management and problem-solving skills, with the ability to prioritise tasks, work independently and perform effectively under pressure.

  • You are committed to continuous learning and professional development, with a proactive approach to improving your skills and contributing positively to the team.

About the hospital

In this role you will be based at St Vincent’s hospital, Darlinghurst.

  • A busy inner-city hospital in a beautiful location

  • Closely partnered with universities & affiliated research institutes, many of which are located on-campus

  • Centres of excellence include heart & lung transplantation, bone marrow transplantation, cardiology, cancer care, AIDS/HIV, respiratory medicine, mental health, homeless health, drug & alcohol services, and correctional health
