Job Description - Executive Coordinator

About This Opportunity  

This is a rare opportunity to take on a pivotal coordination role at the centre of the University’s academic governance. As the Executive Coordinator within the Academic Board Office, you will provide high-level executive and operational support to the President and Deputy President of the Academic Board, enabling the effective functioning of the University’s principal academic advisory body.

Working in a complex, high-profile environment, this role requires sound judgement, discretion and exceptional organisational capability. You will coordinate priorities across diaries, correspondence, reviews, meetings and committees, prepare and manage high-quality documentation, and act as a key liaison point for the office for senior leaders, academics, and central portfolios.

This position is well suited to an experienced executive professional who enjoys operating at a strategic interface, brings confidence in managing competing priorities, and is motivated by contributing to the governance and academic mission of one of Australia’s leading universities.

Key responsibilities will include: 

  • Provide high-level executive coordination and support to the President and Deputy President of the Academic Board, ensuring priorities, workflows and communications are managed with discretion and efficiency.

  • Coordinate complex diaries, correspondence, meetings and travel arrangements, exercising sound judgement in handling confidential and time-critical matters.

  • Coordinate Academic Board activities relating to the program of reviews of schools and other organisational units, including support for the review panel Chair and Secretary

  • Manage financial transactions and monitor the Office budget, ensuring compliance with University policies, procedures and financial controls. 

This is a full-time, continuing position at HEW Level 6. 

About You

  • Extensive experience providing high-level executive support or coordination in a complex, senior stakeholder environment, ideally within a university or comparable organisation.

  • Demonstrated ability to exercise sound judgement, discretion and confidentiality while managing competing priorities and tight deadlines.

  • Highly developed organisational skills, with proven capability in coordinating complex diaries, correspondence, meetings and documentation.

  • Strong interpersonal and communication skills, with the confidence to liaise professionally with senior leaders, academics and external stakeholders.

  • Well-developed administrative and digital capability, including experience preparing high-quality reports, committee papers and presentations.

  • A proactive, adaptable approach, with the ability to work autonomously while contributing effectively as part of a collaborative support team.

The successful candidate may be required to complete a number of pre-employment checks, including right to work in Australia and a criminal check.
