We are seeking a highly organised and dynamic Personal Assistant to join the new St John of God Midland Private Hospital, set to open in August. In this exciting opportunity, you will deliver an exceptional standard of secretarial and administrative support to members of the hospital executive team. Working in a fast-paced and professional healthcare environment, you will play a pivotal role in ensuring seamless daily operations through expert coordination of schedules, preparation of high-quality documentation, and effective management of communications. This role offers the chance to be part of a brand-new facility from the ground up, where your professionalism, discretion, and proactive approach will directly contribute to supporting leadership and shaping the success of our hospital.
About the new Midland Private Hospital
- A brand-new purpose-built state-of-the-art facility, currently under construction, located just 300 metres from the St John of God Midland Public and Private Hospitals Campus.
- A comprehensive range of medical and surgical services, with interventional cardiology being offered for the first time in the region
- The hospital will feature:
- 96 overnight inpatient beds, including a six-bed critical care/high dependency unit.
- 33-bed/chair short stay and day procedure unit
- Eight operating theatres.
- A cardiac/vascular catheter laboratory
The Role
- Proactively provide a high level of secretarial and administrative support through the following functions:
- Comprehensive diary and email management of assigned Directors.
- Manage incoming communications, including answering and screening telephone calls and prioritising and distributing incoming mail.
- Produce accurate well-presented documents including letters, memos, briefing papers, reports and presentations in line with the SJGHC Visual Identity Style Guide, Writing Guide and documentation standards.
- Provide comprehensive meeting support, including scheduling, creation of agendas, minute taking, room bookings, catering and AV requirements.
- Coordinate authorised travel arrangements including flights, accommodation, vehicle hire and other arrangements as required, following SJGHC Policy.
- Initiate and contribute to improvements to administrative systems.
- Organise and manage office equipment and stationery requirements.
- Maintain a well organised filing system to ensure safekeeping and archiving of documents according to Hospital protocols.
- Provide administrative support to the Managers within the portfolio as required.
- Demonstrate flexibility and adaptability by providing support to other Executive Administrators as needed, including during periods of leave or increased workload.
- Undertake projects, as instructed by the Directors, and use own initiative to drive projects from commencement to completion.
- Maintain confidentiality and exercises diplomacy at all times.
- Maintain a flexible attitude to the daily schedule to address unexpected changing priorities.
- Create a welcoming and hospitable environment both personally and via telephone and written communication.
- Liaise with and maintain effective and cooperative communication with Directors, Managers, Caregivers, Group Services Executive and external organisations.
- Meet and greet visitors to the executive office where appropriate
- Coordinate the end-to-end patient feedback and formal complaints process on behalf of the Director of Nursing. This includes managing the registration and distribution of correspondence, liaising with relevant managers to coordinate investigations, tracking response deadlines, and drafting initial responses for executive approval.
- Achieve and maintain compliance with all mandatory competencies and assume responsibility for record maintenance.
- All other reasonable duties as directed by the relevant manager/supervisor.
To be successful in this role, you will bring demonstrated experience in a Personal Assistant or senior administrative position supporting management, with a proven ability to organise, prioritise workloads, and meet deadlines in fast-paced, high-pressure environments. You will possess strong proficiency in Microsoft Office, with accurate and efficient skills in typing, data entry, and document management. Your sound analytical ability will enable you to work independently while exercising initiative and judgment.
A high level of discretion is essential, with a demonstrated ability to maintain strict confidentiality and handle sensitive information at all times. You will also have highly developed interpersonal and communication skills, allowing you to engage professionally with executives, managers, caregivers, and external stakeholders, while consistently conveying professionalism. In addition, your strong written communication skills will ensure the delivery of high-quality correspondence, reports, and documentation on behalf of senior leaders

- Salary: $85,508 - $87,204 per annum, plus 12% superannuation
