Job Description - Senior Executive Assistant

About This Opportunity  

Join a dynamic and purpose-driven Faculty Executive Office within HMBS, where your expertise will directly support senior leadership and contribute to the smooth, strategic operation of a complex and high-performing environment. As a trusted partner to the Faculty Executive team, you will play a central role in enabling impactful decision-making, driving operational excellence, and ensuring seamless coordination across a broad network of stakeholders. This is a unique opportunity to work at the heart of a collaborative and inclusive community, where your contribution helps create meaningful change across teaching, research, and engagement. 

Key responsibilities will include:

  • Delivering high-level executive and administrative support, including proactive diary management, travel coordination, and prioritisation of competing demands

  • Coordinating meetings, committees, and events, including preparing documentation, taking minutes, and ensuring effective follow-up actions

  • Managing workflows, systems, and processes to support the efficient day-to-day operation of the Faculty Executive Office

  • Undertaking research, analysis, and drafting high-quality correspondence and reports, including handling sensitive and confidential information

This is a full-time, continuing position at HEW Level 6. 

About You

You are a highly organised, proactive and adaptable professional who thrives in a fast-paced executive environment. With a strong sense of discretion and professionalism, you bring excellent judgement, superior communication skills, and the confidence to engage with senior stakeholders across a diverse organisational landscape.

To be successful, you will demonstrate:

  • Extensive experience providing senior-level executive support in a complex or large organisation

  • Exceptional organisational and time management skills, with the ability to manage competing priorities and meet deadlines independently

  • Highly developed interpersonal and communication skills, with the ability to build trusted relationships across diverse stakeholder groups

  • Proven ability to exercise discretion, sound judgement, and confidentiality in handling sensitive information

  • Strong analytical and problem-solving capabilities, with attention to detail and a proactive approach to identifying solutions

  • Experience managing financial processes such as budgets, reconciliations, and expense management in line with organisational policies

  • A strong understanding of administrative systems, governance processes, and organisational structures within a large institution

The successful candidate may be required to complete a number of pre-employment checks, including right to work in Australia and a criminal check.

You must maintain unrestricted work rights in Australia for the duration of this appointment to apply. Employer sponsored work rights are not available for this appointment.
