Job Description - Service Department Administrator & Finance Coordinator

About the role

  • Customer Support & Operations
    • Log, manage, and empathetically handle customer emails and phone calls
    • Provide proactive support to resolve customer inquiries and concerns
    • Prepare and send correspondence, reports, quotations, and tenders
    • Maintain accurate service records and files
    • Maintain contract database with accurate records 
    • Manage spare parts stock inventory and monitor associated costs
    • Utilize SAP or similar ERP system to manage operational data
    • Collaborate with team members to ensure seamless operations
    • Conduct satisfaction surveys and maintain client portfolios
  • Accounting & Cost Management
    • Process business and financial transactions (delivery notes, invoices, purchase orders, payments, credits
    • Cost accounting and inventory valuation
    • Assist in managing financial data (budgets, forecasts, financial statements)
    • Identify areas for cost savings and process improvements

Skills and experience

  • 2-3 years in a similar administrative or coordinative role with a finance focus
  • Excellent communication, interpersonal, and customer service skills
  • Strong organizational, time management, and prioritization skills
  • Analytical and problem-solving skills with a financial focus
  • Familiarity with SAP or similar ERP systems (desirable)
  • Experience with financial management, analysis, and planning
  • Microsoft Office (Excel, Word, Outlook, PowerPoint) with advanced Excel skills (e.g., financial modeling, pivot tables)
  • Intermediate to advanced financial analysis and reporting skills
  • Bachelor's degree in Accounting, Finance, Business Administration or a related field
