Location: Bibra Lake WA 6163 
Work Type: Casual (Full Time hours available)

As a Site Administrator at AutoNexus Bibra lake, you will support the Operations Manager in an administrative capacity and be a part of the team. 



What You'll Do




  • Lead the day-to-day administration function, keeping site operations running smoothly


  • Prepare and manage key reports such as vehicle despatch, fuel reconciliation, audits, and vendor payments

  • Build strong relationships with suppliers, subcontractors, and transport providers, handling queries and coordinating bookings

  • Manage site purchasing, including raising and approving purchase orders, receipting, and resolving invoice issues

  • Support fleet administration including vehicle receipting and despatch, registrations, demo fleet coordination, and documentation

  • Oversee logistics and dispatch activities including transport bookings and manifest coordination

  • Assist with damage and repair processes, including quotes, transport coordination, and invoice validation

  • Maintain accurate stores and inventory processes, including parts ordering, tracking, and reconciliation

  • Partner with the Operations Manager to support accurate and timely month-end billing and invoicing


 


About You



  • You thrive in a fast-paced, hands-on environment where no two days are the same

  • You’re a confident communicator who can build strong relationships across a wide range of stakeholders

  • You bring experience in administration within a logistics, fleet, or operational environment

  • You have strong attention to detail and are comfortable working across systems (SAP/Coupa experience highly regarded)

  • You understand purchasing, invoicing, and basic financial processes

  • You take a proactive, team-focused approach and are always willing to jump in and support where needed

  • You hold a current driver’s licence


 



Employment Type & Availability



  • Casual opportunity with a highly competitive hourly rate

  • Full-time hours available (Monday to Friday, 7:00am – 3:00pm)
