Job Description - Tender Coordinator (Sydney / Melbourne)

We are seeking a proactive and driven Tender Coordinator to join our team in a hybrid office-based role located in either Melbourne or Sydney. In this role, you will support four key business units across Australia and New Zealand and play a critical role in helping drive business growth through the delivery of high-quality tender submissions.


 


Reporting to the Corporate Business Manager, you will partner closely with Sales, Marketing, and cross-functional teams to manage the end-to-end tender process across RFIs, RFQs, and formal tender submissions. You’ll be responsible for coordinating timelines, allocating tasks, maintaining tender content databases, ensuring submission quality, and supporting continuous improvement initiatives across the tender function. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys balancing project coordination, stakeholder engagement, and process improvement.

The Experience, Skills and Abilities Needed

Tender Coordination & Submission Management



  • Coordinate and manage all tender submissions across public and private sectors

  • Act as a key contact for tender notifications and opportunities

  • Review submission requirements alongside internal stakeholders

  • Coordinate input from Sales, Marketing, Clinical, Finance, Service, and Project teams

  • Manage tender timelines and ensure all submissions are delivered on time

  • Attend tender briefings, meetings, and site visits where required

  • Facilitate internal tender meetings and track action items

  • Prepare, compile, edit, and format tender responses to a professional standard

  • Ensure accuracy, consistency, and compliance with submission requirements

  • Maintain and continuously improve tender content databases and templates

  • Support post-tender reviews and maintain records of submission outcomes

  • Contribute to ongoing improvements in tender systems and processes

  • Manage updates within the Global Tender Tracker


 


Contract & Stakeholder Management



  • Support relationships with awarded contract stakeholders

  • Monitor contract performance and compliance requirements

  • Collaborate with internal teams to resolve issues and maintain service standards

  • Track contract performance and KPI reporting

  • Identify opportunities for account growth within contracted facilities


 


Administrative & Project Support



  • Provide administrative and project support to the Corporate Business Manager as required

About You

You are highly organised, proactive professional with a strong attention to detail.  You have the ability to manage multiple priorities simultaneously and thrive under deadlines. You bring a balance of analytical thinking and confident communication skills, you enjoy working collaboratively to achieve successful outcomes.

Skills & Experience


  • Previous experience coordinating tenders, bids, or complex submissions highly regarded

  • Healthcare or medical device industry experience highly desirable

  • Experience with contract management is advantageous

  • Strong project coordination and organisational skills

  • Excellent written communication and document formatting skills

  • Strong attention to detail and accuracy

  • Ability to manage competing deadlines in a fast-paced environment

  • Confident working with cross-functional stakeholders

  • Analytical mindset with the ability to interpret data and market information

  • Intermediate to advanced Microsoft Office skills

  • Ability to learn new systems and platforms quickly
