Job Description - Vegetation Program Coordinator


About the role

 


Base salary from $86,266 per annum (plus super) - total package to be negotiated with preferred candidate based on skills and experience 


 


We have an a newly created opportunity within our Contract Performance and Delivery team for someone in the role of Vegetation Program Coordinator.


 


In this role, you'll play a key role in supporting the safe and efficient delivery of our Vegetation Management Program. Working closely with the Contract Manager, you'll provide coordination, financial, and administrative support to ensure contractor activities, program schedules, and reporting requirements are effectively managed.


 


This role is ideal for a highly organised professional who enjoys working with a variety of stakeholders, maintaining accurate program records, and ensuring critical business processes run smoothly to support the delivery of essential services for our customers and communities.


 


What you’ll do:



  • Provide oversight and coordination of the vegetation program, ensuring adequate resourcing, governance, and delivery against timelines and budgets.

  • Support vegetation management systems and process improvements, including data verification, system transitions, and accurate work completion records.

  • Manage financial administration activities, including invoice reconciliation, expenditure tracking, accrual support, cost forecasting, and budget variance reporting.

  • Coordinate vegetation delivery schedules, contractor resources, and personnel rosters, monitoring progress against planned works and escalating delivery risks.

  • Administer contractor compliance and commercial processes, including timesheet reviews, contract-related queries, and adherence to contractual obligations.

  • Prepare and maintain program reporting, dashboards, and KPI updates to support performance monitoring and decision-making.


 

About you

 


You’re a strong communicator who can interact professionally with contractors and internal stakeholders at varying levels. You have experience managing competing priorities in a fast-paced environment and can meet deadlines. You’re familiar with structured frameworks for contract management including contract terms, variations and commercial documentation requirements.


 


You will bring:



  • Minimum 2+ years' experience in a program coordination, contract administration, or operational support role in a utilities, infrastructure, or major works environment.

  • Demonstrated experience in financial administration including invoice processing, accruals management, and budget tracking against works programs of significant scale ($10M+).

  • High degree of accuracy and attention to detail, particularly in financial and commercial documentation.

  • Strong proficiency in Microsoft Office, particularly Excel for financial tracking and data management; experience with SAP, Power BI, or comparable enterprise systems is highly desirable

  • Relevant tertiary qualification in business administration, project management, finance, or a related discipline are desirable
