What’s the day to day like?  

As the Executive Assistant & Office Manager, you sit at the intersection of the founders, the office and the team, making sure the day-to-day runs smoothly, the space feels great to work in, and nothing on the founders' plates drops through the cracks.

You're always one step ahead, unfussed by shifting priorities, and you notice what's missing before it becomes someone else's problem.

At its core, this is a hands-on execution role. You might be booking travel, getting a new starter's laptop and desk set up, chasing an outstanding expense claim, coordinating a team lunch, or making sure the kitchen and coffee machine are ready for a fresh Monday. 

This role reports directly to the founders, which means you'll get a rare front-row seat to how the business actually runs. It's perfect for someone who wants that exposure, takes pride in their work, and gets a kick out of being the reason things run smoothly. Your success here will be defined by the energy you bring to work every day.

What you'll be doing
Founder Support

• Provide administrative support to founders (travel logistics, scheduling, events and offsites)
• Assist in the preparation and coordination of department projects as required
• Ensure prompt execution and tracking of leadership action items to maintain operational momentum
• Maintain clear documentation across business processes and policies

Office Operations

• Oversee day-to-day office management including liaising with building management and cleaners.
• Manage office supplies and ensure essentials are consistently maintained (coffee, kitchen, bathroom, consumables)
• Get new starters set up, including laptop and desk logistics 
• Ensure the office remains a space the team is proud to work in

Culture & Events

• Organise and coordinate any internal team events that build community and connection at Eva including lunches, team celebrations, and assisting with the organising of company offsites.
• Ensure engagement initiatives are structured, consistent and sustainable

Finance & Administration Support

• Follow up on outstanding expense claims and receipts
• Respond to invoice payment status queries
• Manage company software subscriptions and platforms
• Ensure administrative systems remain organised and compliant, with accurate billing records.

What you look like:

• 3-4 years in operations, office management or executive support
• Experience working in a startup environment will receive lots of heart-eye emojis
• Highly organised with strong attention to detail
• Proactive and comfortable taking ownership
• High-level problem-solving skills
• Resilient and comfortable working in a fast paced environment
• Confident working across multiple stakeholders at different levels of the business 
• Strong EQ skills
