Management Assistant

Your role

We are looking for a Management Assistant to support the Industrial Air Division Management Team. This is a dynamic and visible role, working across the division and supporting leaders and teams in Marketing, Communication, Engineering, Sourcing and Operations.

Reporting to the VP Marketing AII, you will help ensure that divisional activities, meetings, communication, and planning run smoothly. You will work closely with the IAT Management Team and collaborate with colleagues and management assistants across our global organization.

Your responsibilities

Support to the IAT Management Team

• Coordinate agendas, meetings, and priorities for members of the IAT Management Team.


• Organize and coordinate business trips, ensuring smooth and efficient logistics.


• Manage incoming and outgoing correspondence in a professional and timely manner.


• Coordinate invoicing, spending, and monthly Visa statement reconciliations for the division.


• Take ownership of divisional year planning and ensure key activities and milestones are properly coordinated.


• Support the organization of management meetings, Company Review Meetings, Business Review Meetings, seminars, workshops, and other divisional events.


• Handle sensitive and confidential information with discretion and professionalism.


• Act as backup for the IAT President’s Management Assistant, ensuring continuity of key activities and providing support during absences or periods of high workload.

Divisional Coordination & Organization

• Support the different functions within IAT, including Marketing, Communication, Engineering, Sourcing and Operations, with coordination and organizational activities.


• Coordinate visits from colleagues, external staff, customers, suppliers, and other stakeholders.


• Support divisional activities such as interviews, employee engagement initiatives, workshops, and events.


• Coordinate meeting rooms, catering, travel arrangements, and other practical requirements for divisional activities.


• Maintain regular international contact with colleagues across Customer Centers, Product Companies, and other parts of the organization.


• Collaborate closely with Management Assistants across the Business Area and contribute to a strong global network.


• Support the development, documentation, and communication of organizational processes and procedures.


• Support office-related coordination and other activities that contribute to an efficient and well-organized division.

Internal Communications

• Support the planning and organization of seminars, webinars, management meetings, and divisional events.


• Prepare and distribute newsletters, internal updates, and other divisional communications.


• Create professional presentations, reports, and management materials.


• Support employer branding activities, webinars, and newsflashes in collaboration with the Communications team.


• Maintain and update mailing lists, SharePoint sites, and other communication platforms.

• In possession of a Bachelor’s degree or equivalent relevant experience.


• Fluent in Dutch and English, with excellent written and verbal communication skills.


• Proactive and comfortable working independently, while knowing when to involve others.


• Highly organized and structured, with the ability to manage multiple priorities and deadlines.


• Detail-oriented, reliable, and strong in follow-through.


• Comfortable interacting with senior stakeholders and colleagues across different functions, countries, and cultures.

• Experienced in working with tools such as Microsoft Office, Teams, SharePoint and Outlook.
