Job Description - Events Production Trainee

Position Overview: We are seeking a proactive and detail-oriented Event Production Intern to join our Brussels-based team for a 3-month internship. This role offers hands-on experience in the end-to-end production of events, encompassing project management, logistics, and operations. The intern will work closely with our events team to ensure the seamless execution of POLITICO Live events across Europe. 

What You’ll Do: 

Project Management: 

  • Assist in planning and coordinating all aspects of event production, from conception to completion, including through the use of project management tools such as Asana and Airtable 

  • Support the development of event timelines, schedules, and action plans. 

  • Collaborate with internal teams, including editorial, marketing, and sales, to align event objectives and deliverables, communicate them across teams, and provide proper documentation to all key stakeholders  

Logistics and Operations: 

  • Coordinate venue research, selection, setup, and breakdown, ensuring all technical and logistical requirements are met. 

  • Assist with managing relationships with vendors, suppliers, and contractors to secure necessary services and equipment. 

  • Assist with registration processes, attendee communications, and on-site event management and execution. 

Marketing and Promotion: 

  • Assist in creating content for event websites, social media, and email campaigns. 

Post-Event Evaluation: 

  • Contribute to post-event debriefs, gathering feedback from attendees, partners, and internal stakeholders. 

  • Assist in the analysis of event performance data to assess success and identify areas for improvement. 

  • Support the preparation of post-event reports and presentations. 

What You’ll Need: 

  • Bachelor’s or Master’s degree or equivalent experience in event management, communications, marketing, or a related field. 

  • Strong organizational and multitasking skills, with an ability to manage multiple projects simultaneously. 

  • Excellent written and verbal communication skills in English; proficiency in other European languages is a plus. 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with event management software and CRM systems is advantageous. 

  • Demonstrated interest in politics, policy, and current affairs, particularly within the European context. 

  • Ability to work both independently and collaboratively in a fast-paced, deadline-driven environment. 

  • Flexibility to work occasional evenings or weekends, as required by event schedules.
