Role Summary
The Administrative Assistant supports the smooth and efficient operation of the office by providing professional, responsive, and organized administrative support. As the first point of contact for visitors and incoming calls, this role helps create a welcoming and positive experience while supporting the day-to-day needs of the workplace. Working under the guidance of the Executive Assistant and collaboratively across departments, the Administrative Assistant helps maintain an organized, professional, and supportive work environment that reflects Titan’s values of Trust, Quality, Value, and Respect.
RESPONSIBILITIES
Reception and Customer Service
Answer and direct incoming phone calls to the appropriate departments or personnel, including providing overflow phone support for other locations as needed.
Monitor and respond to incoming emails, directing inquiries to the appropriate departments or personnel as required.
Greet and assist visitors and clients in a professional and courteous manner.
Mail, Deliveries, and Office Coordination
Manage incoming and outgoing mail, courier packages, and deliveries.
Maintain office supplies, inventory levels, and place orders as required.
Contribute to maintaining a clean, organized, and efficient office environment.
Administrative and Records Support
Provide general administrative support, including filing, data entry, and document preparation.
Maintain organized records and ensure accuracy of information.
Handle confidential information with discretion and professionalism.
Scheduling and Team Support
Provide ongoing support with boardroom scheduling, bookings, and calendar coordination.
Support internal teams with administrative tasks and company initiatives.
Perform other duties as assigned.
REQUIRED QUALIFICATIONS AND EXPERIENCE
High school diploma or equivalent.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to work in a fast paced office environment.
PREFERRED QUALIFICATIONS
Previous administrative or office support experience is considered an advantage. Preferably, experience working within construction, engineering, or a related environment.
Experience using additional tools such as CRM systems, databases, or project management software is beneficial.

OTHER INFORMATION
This is a Full-Time, Term position (Monday to Friday, 8 am to 5 pm), in-office.
This position is open to candidates based near Île des Chenes, Manitoba.
Wage will depend on the qualifications and skills of the candidate.
