Rotating Shifts: 0700-1500, 0700-1900, 1500-2300, 1900-0700, 2300-0700


Pay Band: BAND K $29.56 - $32.76

Location: Kingston General Hospital Site


 


In accordance with Article 9.05, where the previous incumbent returns to this position within the thirty (30) day trial period this position shall be deemed not vacant and the posting will be cancelled.  Should the vacancy be cancelled, applicants to this posting shall be notified.

However, this does not guarantee the permanence of the shift time or work assignment for the position. The Hospital reserves its Management Rights under the CUPE Collective Agreement to make changes to shift time and work assignment as it deems necessary.


 


 


PRIMARY FUNCTION:


The primary function of the bed allocator is to coordinate admissions, transfers, discharges, process deaths, and the statistics for the Ministry of Health census for inpatients. The bed allocator also updates morgue census and assists with tasks related to morgue flow. These functions are carried out in accordance with the Statement of Confidentiality and Ethics of Patient Records and Registration.


 


Within this role the employee is accountable for contributing to the delivery of the Kingston Health


Science Center’s strategy. As an employee, one must demonstrate an awareness of and be responsible


for actively promoting and supporting patient and family centered engagement and care in all we do.


 


 


PRINCIPLE DUTIES:



  • Allocate beds for inpatients for a variety of areas including but limited too: emergency, SDAC patients according to medical bed requirements and preferred accommodation.

  • Analyze patient moves to accommodate daily admissions, transfers and discharges.

  • Complete statistics for the Ministry of Health census for inpatients using an Excel pivot table.  Completes other data reporting as required inclusive of: statistics for Administration and Finance.  Updates hospital’s bed availability through Criticall (on-line provincial bed registry).

  • Coordinates the processing of deaths for the hospital, community needs, morgue, autopsy suite, Coroner, funeral homes and organ donation.

  • Prioritize emergency admissions based on bed availability and physician consultation

  • Provides PCS expert advice for Patient Records and Registration department during off-hours.

  • Coordinate Land and Air Ambulances using the Internet/fax machine following Non-emergent Land and Air Ambulance Procedures.

  • Completes visits in PCS, generates and distributes appropriate reports and other information as required.

  • In no bed situations, coordinate admissions and/or transfers with the Operations Manager.

  • During PCS downtime, recovers EP/OP/SM/IP demographics and visits for KGH and HDH, prior to allowing all others access to system.

  • Register, activate, and discharge SM visits for Cardioversion following PCS Cardioversion Procedures.

  • Perform bed consolidations as required.

  • Complete Cancellation of Elective Patients Log


 


 


BASIC QUALIFICATIONS:



  • 2-year Medical Office Administration diploma or equivalent combination of education and experience.

  • Two years of Registration or Admitting experience within the last five years.

  • Microsoft Office Level 2 – Excel will be tested.

  • Microsoft Office Level 1 – Word will be tested.

  • Keyboarding with 45 wpm and 95% accuracy will be tested.

  • Medical terminology proficiency with 70% accuracy will be tested.

  • Ability to navigate the Internet.

  • Demonstrated ability of above average written and verbal communication skills, including good grammar, composition and spelling.

  • Evidence of strong organizational skills with the ability to work under pressure and meet deadlines.

  • Must have excellent interpersonal skills with demonstrated ability to communicate effectively, courteously and tactfully with all types of people.

  • Demonstrated ability to work independently.

  • Discretion and maturity in handling confidential matters.

  • Ability to work in a high stress fast paced environment required.

  • Proven ability to attend work regularly.

  • Satisfactory criminal record check and vulnerable sector search required.
