POSITION OVERVIEW


 


Reporting directly to the Chief Executive Officer, the Executive Advisor serves as the CEO’s senior strategic and operational partner, ensuring seamless coordination across the Office of the CEO and the organization. Acting as an extension of the CEO, you will provide strategic insight, tactical guidance, and discipline to advance enterprise priorities. You will anticipate emerging issues, prepare comprehensive briefing materials, and ensure the CEO is fully equipped for all engagements. You will attend key meetings, track decisions and actions, and deliver timely debriefs to maintain alignment and organizational awareness.


 


You will also lead executive communications—including social media and cross‑organizational communications, highlighting collaboration among executives, Board members, and external partners. Through strong analytical capability, strategic counsel, and proactive alignment, you will further strengthen the CEO’s capacity to lead the organization and drive key initiatives forward.


 


Our ideal candidate is a seasoned strategic advisor with strong leadership experience and the ability to operate as a trusted extension of the CEO. You bring sharp judgment, political acuity, and discretion, distilling complex issues into clear, actionable insights. Effective in cross‑functional collaboration, you drive alignment, disciplined execution, and strong relationships across senior executives in a fast‑paced, enterprise environment.


 


SCOPE & RESPONSIBILITIES


 


The duties of this role will include but are not limited to the following:


 


Executive & Strategic Support


 



  • Serve as a key advisor to the CEO, offering strategic recommendations to maximize organizational impact and support informed decision‑making.

  • Coordinate CEO priorities, develop briefing materials, prepare pre‑meeting debriefs, and ensure the CEO is fully briefed on agendas, stakeholders, and strategic considerations.

  • Provide strategic advice to the CEO and senior management on highly sensitive, complex, and controversial matters with the potential for a high degree of organizational impact.

  • Attend internal and external meetings with the CEO, capturing key discussions, tracking actions, and conducting post‑meeting debriefs. Participate in strategic planning, policy development, and operational decision‑making.

  • Review initiatives to identify interdependencies, risks, and opportunities to integrate and optimize efforts.

  • Conduct environmental scanning and jurisdictional analysis, making recommendations regarding corporate issues and stakeholder impacts.


 


Organizational Alignments & Performance


 



  • Work closely with executive leadership to ensure work plans remain on-track and aligned with CEO, organization, and Board priorities.

  • Monitor progress of key initiatives and ensure the CEO is briefed on risks, challenges, and emerging issues.

  • Ensure programs and policies are prioritized and tracked in an integrated manner across the organization.

  • Participate in enterprise‑wide projects, initiatives, and committees. Manage cross‑departmental projects and strategic deliverables, driving accountability and timely execution.

  • Conduct qualitative and quantitative analysis, interpreting trends and performance metrics to inform strategic insights. Translate complex analysis into clear, actionable recommendations.

  • Identify modernization opportunities in corporate policy, governance, performance management, and organizational design, providing strategic advice.



Executive Governance & Decision Support


 



  • Manage and forecast the CEO’s agenda to support strategic alignment and effective decision‑making.

  • Prepare high‑quality briefing materials, Board reports, presentations, speaking notes, and governance documentation.

  • Lead development of agendas, terms of reference, minutes, and action logs for various leadership forums. Track decisions, commitments, and deliverables to support accountability and visibility.

  • Brief the CEO on all engagements with the TTC Board, Executive Steering Committees, and government partners, ensuring early insight and post-meeting debriefs occur.

  • Oversee governance processes ensuring transparency, disciplined follow through, and timely decision‑making at appropriate levels of the organization.


 


Stakeholder Engagement


 



  • Build and maintain strong relationships with senior leadership, Board members, government partners, and external stakeholders to advance CEO priorities.

  • Promote key initiatives with internal and external partners to gain support for implementation and adoption.

  • Provide strategic advice on communications to ensure successful execution of messaging.

  • Develop communications on behalf of CEO’s Office including announcements, speaking points, presentations, and correspondence.

  • Represent the CEO’s Office in meetings and consultations as required.

  • Follow and support the inclusive and accessible policies, programs and/or services for employees and customers in accordance with TTC’s commitments and obligations under the Ontario Human Rights Code (OHRC) and Related Orders, the Accessibility for Ontarians with Disabilities Act (AODA), and TTC’s policies.


 


KEY SKILLS & EXPERTISE


 



  • Significant experience in a leadership and advisory role within a large public sector organization. Extensive project management experience with a demonstrated ability to work effectively with senior management on large complex projects.

  • Proven ability to lead, influence, and collaborate across senior executives and cross-functional teams. Strong stakeholder management skills with the ability to negotiate, influence, and build trusted relationships.

  • Exceptional problem‑solving skills with the ability to generate strategic, timely and creative solutions to complex issues.

  • Experience in preparing high-quality briefings, reports, policy papers and presentations with clear strategic recommendations.

  • Excellent communication skills, both written and verbal with ability to interpret and synthesize technical and/or analytical information to support decision-making.

  • Demonstrated ability to coordinate complex, multi‑area initiatives and ensure integrated, cohesive outcomes.

  • Experience in developing and maintaining project tracking and reporting tools. Ability to develop project charters, work plans, and terms of reference to guide major initiatives.

  • High degree of political acuity, judgment, and discretion in handling sensitive matters.

  • Experience working in a governmental City or Provincial Office would be an asset.

  • Ability to quickly acquire deep knowledge of TTC’s structure, operations, and governance.

  • Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.


 


EDUCATION


 



  • Completion of a post-secondary college diploma or university degree in a related discipline (e.g. Business/Public Administration, Political Science), combined with extensive related work experience, OR a combination of education, training and experience deemed to be equivalent.
