The Opportunity:
We are recruiting for a Fund Development Officer
- This a regular full-time position to fill an existing vacancy (35 hours per week Monday to Friday 9am to 5pm with flexibility required to meet project demands including evenings and weekends) based at 737 Woolwich St. Guelph.
Reporting to the Manager, Fund Development, the Fund Development Officer plays an important role in supporting the fundraising, community engagement, and communications objectives of CMHA Waterloo Wellington (CMHA WW) and Youth Wellness Hubs Ontario (YWHO) Wellington-Guelph. This position is responsible for coordinating fundraising events, supporting donor stewardship activities, contributing to digital engagement efforts, and developing communications materials that enhance organizational visibility and community connection.
Working collaboratively with internal teams and external partners, the Fund Development Officer supports the implementation of fund development initiatives through event coordination, social media and communications support, donor and grant activities, and data management and reporting. This role contributes to building meaningful community relationships and supporting philanthropic efforts across the region.
Key Responsibilities
Lead Event Coordination
- Coordinate the planning and execution of fundraising and community engagement events in alignment with established fund development plans and organizational priorities.
- Support the development and track event budgets, including responsibility for managing event related expenses for initiatives with budgets up to $75,000, ensuring expenditure remains within approved limits.
- Coordinate event logistics, including vendor relationships, timelines, materials, and on-site support to ensure successful delivery.
- Support post-event evaluation activities, including data collection, stakeholder feedback, and contributing to outcome reporting and recommendations for future improvements.
- Ensure event branding, donor engagement, and guest experience align with CMHA WW and YWHO standards and expectations.
- Coordinate and provide guidance to volunteers to support effective event execution.
- Identify and communicate opportunities to enhance event processes, partnerships, and participant engagement.

Social Media & Communications Support
- Develop and coordinate social media content and digital communications materials to support fundraising campaigns, events, and community engagement initiatives.
- Collaborate with the Manager, Communications and Community Engagement to create publish content including graphics, written materials, newsletters, event promotions, and digital media assets.
- Maintain and update content calendars to support coordinated messaging and timely promotion of initiatives and events.
- Monitor social media engagement and campaign performance, and contribute to reporting and continuous improvement efforts.
- Stay informed on emerging trends and tools in digital engagement and recommend opportunities to enhance reach and effectiveness.
Donor Stewardship & Grant Development
- Support donor stewardship activities through timely donor communications, including thank you calls, emails, recognition materials, tax receipts, and event-related follow-up.
- Conduct donor and grant research to support fundraising initiatives and funding opportunities.
- Assist the Manager, Fund Development with the preparation and coordination of grant applications, donor presentations, sponsorship materials, and fundraising proposals in collaboration with the Manager, Fund Development.
- Contribute to annual giving campaigns and donor engagement initiatives that strengthen community relationships and philanthropic support.
Data Management & Reporting
- Maintain donor database accuracy through timely and confidential data entry and record management.
- Support analysis of fundraising, donor, and engagement data to informed planning and reporting.
- Assist with the preparation of monthly and annual reports, dashboards, committee materials, and fundraising summaries for leadership and board reporting purposes.
Job Qualifications:
Education and Experience:
- Post-secondary degree or diploma in Fundraising, Communications, Marketing, Public Relations, Business, or related field.
- Minimum three (3) to five (5) years of experience in fundraising, event coordination, communications, donor stewardship, or related areas.
- Experience supporting fundraising campaigns, grant development, donor engagement, and community events.
- Experience working within healthcare, mental health, non-profit, or community services environments considered an asset.
- Valid G Class driver’s license, access to reliable vehicle, and appropriate insurance may be required.
Required Skills & Abilities:
- Strong written and verbal communication skills.
- Experience with social media platforms and digital communications tools.
- Strong organizational and time management skills with ability to manage competing priorities.
- Ability to coordinate fundraising events and donor engagement activities.
- Experience working with donor databases and Microsoft Office Suite.
- Ability to analyze and maintain accurate data and reports.
- Ability to build positive working relationships with donors, volunteers, community partners, and staff.
- Demonstrated attention to detail and ability to maintain confidentiality.
- Strong problem-solving and critical-thinking skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and donor database/CRM systems such as DonorPerfect or related platforms.

CLASSIFICATION AND RATE OF PAY: Level 4 (Non-Union) - $29.29 TO $35.56 per hour
