THE JOB: Project Coordinator, JCC Strategic Initiatives & Operations

The starting salary range falls within the minimum to mid-point of the salary range.

Starting Salary Range: $57,6160 - $71,450

Reporting to the Manager, JCC Governance and Operations, the Project Coordinator, JCC Strategic Initiatives & Operations, is responsible for planning, coordinating, and documenting Joint Clinical Committee meeting procedures. The Project Coordinator supports JCC leadership by building meeting agendas, carrying forward agenda items identified at previous meetings, scheduling and preparing presenters and guests identified by the JCC Co-Chairs, preparing and distributing JCC meeting packages, capturing minutes and decision records for each committee, and other secretariat functions. The project coordinator is expected to have excellent oral and written communication skills as they will be regularly engaging with senior staff, in addition to being responsible for formally documenting meeting proceedings. The Project Coordinator plays an instrumental role in good governance by ensuring formal processes and workflows are followed and deadlines are met, and by accurately and diplomatically recording and tracking JCC meeting decisions and actions.

The position requires strong organizational, time management, and communication skills and the ability to manage multiple priorities simultaneously. This role also requires someone who possesses outstanding attention to detail and maintains confidentiality and professionalism while communicating with leadership and committee members both virtually and in person. Initiative and strong interpersonal skills are required in working collaboratively with Ministry of Health executives, physician leads, and leadership from across Doctors of BC. Due to the nature of the team’s work and the variety of work that may be assigned to the project coordinator, adaptability, critical thinking skills, diplomacy, and a strong knowledge of the Microsoft suite of products are essential. Experience with the Zoom application is preferred.

WHAT YOU BRING

• An undergraduate degree or a specialized post-secondary diploma in a related field with up to two years of related experience, or an equivalent level of related work experience in lieu of post-secondary education.


• Detailed knowledge of the BC health care system, issues, and trends is preferred.


• Meeting coordination (including virtual meetings), minute writing, project management, and/or change management training and experience.


• Excellent written and oral communication skills, with experience in creating formal documents and emails, and proven ability to develop clear and concise communication.


• Demonstrated ability to create, follow, and improve team workflows and processes to support operational efficiency. Experience in utilizing and developing databases to track team activities is an asset.


• Adept at balancing concurrent tasks and deadlines, working with internal and external parties in a coordinated manner, and representing the department with a high level of professionalism.


• Strong problem-solving skills to respond to a wide variety of operational and strategic challenges and opportunities. Proven ability to deal with ambiguity and conflicting demands.


• Excellent interpersonal, relationship-building, and team skills. Able to collaborate effectively with team members, leaders, and external parties.


• Ability to work with diverse groups with differing interests and motivations in a diplomatic manner.


• Demonstrated proficiency with Microsoft software, particularly Microsoft Word, PowerPoint, Excel, and Outlook. Experience with Zoom and cloud-based document storage tools is preferred.


• While the role is primarily remote, proximity to Vancouver or the ability to travel is preferred due to the requirement to support some in-person committee meetings at the Doctors of BC office.
