Sales Coordinator Responsibilities:
Sales
Communicate with sales and service staff via email, phones and in person
Generate and distribute order status reports
Generate and distribute updates, memos, etc.
Provide customer service to all internal and external customers
Prepare large bid paperwork for customer orders over 10 units.
Work with sales reps to spec. out for stock and factory orders.
Input electronic & manual change orders.
Create concessions for sales reps on sold and stock units
Facilitate the check-in, PDI, safety and cleaning of all new units.
Arrange delivery of units from factory and to the customers when necessary
Schedule & plan delivery schedule of all units with sales reps & customer.
Licence & plate vehicles as per customer request.
Create, distribute and follow-up on all work order
Create, maintain, and organize and track all customer files from creation to close
Monitor all customer information coming inbound to ensure proper delivery time; information sheet, driver’s license, insurance, etc.
Arrange all PO’s and arrange payment for invoices
Facilitate and source aftermarket customer requests
Work with finance department to ensure paperwork is distributed and accurate prior to delivery.
Attend all new truck related meetings
Report Generation
Stock Inventory
Update Location and status
Update Concession and Cost
Updated Regularly and distributed internally only
Costing Sheets
Generate and verify pricing with sales reps
Have deal signed off by Management before sending to customer
Produce finalized agreement to be signed by customer, management & sales representative
Warranty Registration Form
Generate to have ready for delivery to have customer to sign
Delivery Receipt
Generate receipt to be signed on delivery
Accounting
Back Up for Costing all New and Used Truck/Bus deals
Back up for Updating monthly sales spreadsheet for New/Used truck and buses
Back up for balancing New Truck Inventory schedule and associated journal entries
Service Coordinator Requirements:
Proficient in high volume data entry
Computer proficiency including MS Office suite and payroll processing software
Exceptional attention to detail and accuracy of work performed
Good communication skills both oral and written with the ability to effectively communicate via face-to-face, phone, or by other means of communication
Ability to define problems, collect data, establish facts, and draw valid conclusions
Ability to process data and organize it for management analysis
Ability to apply common sense understanding to carry out detailed instructions.
Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
Ability to interact well with others
