Travel and Site Coordinator

SMS Equipment is seeking an organized and detail-oriented Travel and Site Coordinator to provide administrative support services for the service functions within our mining branches. In this role, you'll help coordinate employee travel, accommodations, onboarding activities, reporting, and operational support that keeps branch and field operations running smoothly.

Working closely with Field Supervisors, Human Resources, vendors, and employees, you will support travel logistics, housing and accommodation programs, fleet administration, forecasting, and reporting while ensuring administrative processes remain accurate, timely, and well organized in a fast-paced environment.

Work Location: Elkford, BC
Salary: $55,000 - $65,000 per annum, based on experience
Work Arrangement: On-site
Schedule: Monday - Friday, 7:00 am - 3:30 pm

What You'll Do

• Coordinate employee travel to customer sites with Field Supervisors, including accommodation bookings and related travel details.


• Administer company-owned, leased, and contracted, including housing assignments, occupancy, and employee moves.


• Manage vendor relationships and rate agreements for travel, accommodation, rentals, and leases.


• Coordinate fleet administration with vendors, repair facilities, leasing companies, and equipment suppliers while maintaining accurate records, reports, and documentation.


• Train and support Administrators and Site Coordinators on site-specific travel and onboarding processes, maintaining the related work instructions and documentation.


• Partner with Human Resources and Field Supervisors to orient hourly new hires to required processes and information.


• Prepare monthly and annual site-specific travel forecasts, reports, data collection, and analysis.


• Meet weekly and monthly with Field Supervisors to gather travel and workforce planning information.

What You Bring

You are a highly organized administrative professional with 2+ years of administrative experience supporting travel coordination, recordkeeping, reporting, or operational administration. You bring strong attention to detail, planning skills, and sound judgment, along with the ability to build positive working relationships with internal teams, vendors, and employees.

Additional qualifications include:

• High School Diploma or Office Administration Certificate.


• Experience coordinating multiple priorities and maintaining accurate records and documentation.


• Strong communication and organizational skills.


• Proficiency with Microsoft Office applications.

Preferred Qualifications

• Previous experience with remote travel coordination.


• Experience supporting housing, accommodation, or fleet administration programs.


• Advanced Microsoft 365 skills.
