SUMMARY
The Union of British Columbia Performers (UBCP/ACTRA) is an autonomous branch of the Alliance of Canadian Cinema, Television and Radio Artists (ACTRA) the national organization of professional performers working in the English-language recorded media in Canada. ACTRA represents the interests of 28,000 members across Canada.
UBCP/ACTRA is seeking two (2)- post-secondary students or recent graduates to join our team in a temporary, full-time Office Support capacity for a 3-month term, supporting the day-to-day work of our records digitization (scanning project.
This is a hands-on, detail-driven role responsible for converting physical records into properly named and filed digital records, following an established naming convention and folder structure.
The successful candidate will be self-starting, highly detail-oriented, and comfortable with repetitive, procedural work performed to a consistent standard. Strong organizational skills, discretion in handling sensitive records, and reliability are essential.
RESPONSIBILITIES
Duties include but not limited to, the following:
- Scans physical records and saves files using the organization's established naming convention and folder taxonomy.
- Files digital records in the correct location within the document storage system.
- Follows documented scanning and quality-control protocols to ensure consistency and accuracy.
- Tracks and reports basic processing metrics (e.g., volume scanned, error rates), as required.
- Handles all records with strict confidentiality and in accordance with the organization’s privacy obligations under BC’s Personal Information Protection Act.
- Assists in maintaining the general files.
- Prepares documentation in preparation of mail outs and membership meetings.
- Other duties as may be assigned from time to time by the Employer.
- Reports to the Employer.
QUALIFICATIONS
Education/Experience Requirements
- Educational background and industry-related knowledge and experience will be considered in assessing applicants in accordance with Article 13.03 of the UBCP/ACTRA – UNIFOR Collective Agreement.
- Enrollment in, or recent completion of, a post-secondary program in Office Administration, Business, or a related field is considered an asset.
- Prior experience working in an administrative office environment is required.
Skills and Abilities
- Intermediate proficiency with MS Office programs such as Word, Excel, Outlook and PowerPoint.
- High level attention to detail and comfort with repetitive, standards-based work.
- Comfort with scanning equipment and basic digital file management.
- Strong numeracy and written communication skills.
- Ability to work independently and as part of a team.
- Strong keyboarding skills, with speed and accuracy (minimum 50 WPM).
- Excellent communication and interpersonal skills.
- Discretion in handling sensitive confidential records.
