Job Description - Executive Assistant

Grundfos Industry (IND) Division is committed to supporting industries globally in achieving their sustainability goals and driving progress through reliable and efficient products and services. IND division has approximately 3,000 employees globally, including 1,800 in IND Operations. IND headquarters is in Bjerringbro, where this position is based. 




The role 
As Executive Assistant to the Vice President for IND Operations, you will provide high-level administrative and operational support and become a trusted collaboration partner. Your ability to stay one step ahead—managing priorities, coordinating activities, and ensuring excellent communication—will be essential. 




You will act as a central link between the VP and both internal and external stakeholders, ensuring that information flows seamlessly and that strategic priorities are executed efficiently. As a valued member of the Global Operations Leadership Team, you will help keep workflows efficient and leadership processes well-organized. 

 Your key responsibilities: 






  • Manage and maintain the VP’s calendar, priorities, and key activities 








  • Coordinate domestic and international travel, including itineraries and expense reporting 








  • Plan and arrange meetings, workshops and Town Halls on behalf of the VP 








  • Prepare, consolidate and proof-read material and presentations for meetings and act as point of contact for participants 








  • Support VP with inquiries (internal/external), and mail correspondence 








  • Develop & maintain platforms to enable easy access to information 








  • Participate in meetings, capture decisions in Minutes of Meetings and ensure filing 








  • Support IND Operations LT members

  • A strong communicator, engaging effectively across all levels of the organization 








  • Adaptable and proactive, bringing structure while remaining open-minded and solution driven 










  • Calm under pressure, maintaining efficiency and effectiveness in demanding situations 








  • A “people-person” who can build a network and work with stakeholders 








  • A great sense of integrity and business understanding 








  • Fluent in spoken and written English with excellent interpersonal skills 






Additionally, experience in: 






  • Executive-level secretarial support within a global business 








  • Planning, coordination, and communication in a large international organization
