Now we are strengthening our Quality Team with a new Documentation Specialist to our office in Espoo, Finland. You will report to the Manager of Document Control & Change Management, located in Walluf, Germany.
The Document Controller's responsibilities include management, organization and control of all project-relevant and QMS related documents ensuring version control, compliance with applicable standards (ISO 9001 / 13485), management of document flow, coordination with internal/external teams and retrieval of documents on request to ensure accuracy and compliance.
In this position, you will work in a close cooperation with different internal stakeholders, such as Operations, R&D, S&M and Administration. This is a fixed-term position intended to last for one year. However, it is possible that the position may be converted to a permanent position after the fixed term, and this will be reviewed in 2027.
Job Description
Main tasks:
- Processing release and control of internal documents and records in company-specific systems
- Ensuring appropriate application/distribution of controlled documents according to applicable regulatory requirements (ISO 9001 / 13485).
- Verify incoming and outgoing documents for completeness, correct metadata, numbering, file formats, revision, and approval status.
- Supporting all departments by routing changes of controlled documents through the applicable change management system
- Supporting all departments by using applicable Document Management System / tool
- Supporting local training process by routing training logs via applicable system for collecting signatures.
- Supporting the back office in internal and external audits and inspections
Requirements to be successful in this position ->
- Successfully completed education in a technical or commercial area or a comparable qualification
- Familiarity with ISO 9001 requirements related to control of Documents and Records
- Knowledge of DMS systems.
- Understanding of document control processes (review, approval, revision, transmittal).
- Highly accurate, structured, and reliable work approach; strong focus on data and process quality.
- Communication skills, service orientation, teamwork, attention to detail.
- Solid user knowledge of MS Office, e.g. Word, Excel, Visio, PowerPoint, Outlook
- Capability to manage the responsibility area independently
- High level of verbal and written English is essential
