Position Overview:
We are seeking an organized and proactive Office Manager to oversee the day-to-day administrative operations of our Helsinki office. The successful candidate will ensure that the office runs smoothly and efficiently while supporting the needs of our team. This role is crucial to maintaining a productive work environment and fostering a positive company culture.

Key Responsibilities:

• Oversee daily office operations, ensuring a well-organized and efficient workspace.


• Manage office supplies, equipment, and facilities, coordinating with vendors as needed.


• Organize meetings, events, and travel arrangements for staff and executives.


• Handle incoming correspondence, phone calls, and inquiries in a professional manner.


• Maintain accurate records, including employee files, office expenses, and vendor contracts.


• Assist with onboarding new employees and coordinating HR-related tasks.


• Ensure compliance with company policies, health and safety regulations, and local laws.


• Support financial activities, including invoice processing and expense tracking.


• Foster a positive work environment by organizing team-building activities and promoting company culture.
  

Qualifications:

• Bachelor’s degree in Business Administration, Office Management, or a related field preferred.


• 3+ years of experience in office management or administrative roles, preferably in technology, defense, or high-growth industries.


• Strong organizational and multitasking skills with excellent attention to detail.


• Proficiency in Microsoft Office Suite and office management software.


• Excellent communication and interpersonal skills.


• Ability to work independently and handle multiple priorities in a fast-paced environment.


• High level of professionalism, discretion, and confidentiality.


• Fluent in English; proficiency in Finnish is an advantage.
