Job Purpose

Provide secretarial and administrative support to management and other staff in MEE.

Responsibilites and Tasks


  • Answer telephone calls, operate the switchboard and welcome visitors at the reception

  • Organize external and internal events or meetings

  • Handle daily post and courier traffic

  • Manage office supplies

  • Arrange travel & accommodation (booking, contracts, …)

  • Support the administration of Expat handling

  • Support the implementation of Health and Safety measurements

  • Support in the administration of company car management

  • Support in (pan-)departmental project management

  • Provide further administrative support (CO2-Reporting, contract management, etc.)

  • Support compliance-related activities including control operations and audit support

  • Support corporate governance processes, policy implementation and decision-making procedures

  • Support Business Continuity Planning (BCP), including training coordination, safety checks and audit trace documentation

  • Act as support contact for data protection topics, including training coordination and operational support

  • Support policy management activities, including revisions, communication and compliance history documentation

  • Support RAC promotion activities and coordinate E-RAC related topics with headquarters

Required Knowledge/Experience


  • University Degree in Business Administration or related field, or qualification as Office Management Assistant / Secretary / Travel Management Assistant or equivalent qualification

  • Several years of professional experience in general administration, office management or corporate support functions

  • Experience in supporting cross-functional and international projects

  • Basic knowledge of Business Continuity Planning (BCP), Health & Safety and data protection topics preferred

  • Experience in coordinating audits, policy management or internal control-related activities is an advantage

  • Good knowledge of MS Office and related administrative tools

  • First experience with related tools, e.g. travel management systems

  • Good German and English language skills

  • EU driver licence 

  • High level of reliability, confidentiality and attention to detail

  • Strong organizational and coordination skills with a structured and proactive working style

  • Good communication and stakeholder management skills

  • Open, friendly and service-oriented personality

  • Ability to work independently as well as collaboratively in an international environment
