Job Description - A leading hedge fund- contract office administrator (up to 30k)

The Company

Our client is a leading financial institution, and they are seeking for Office Manager to join their team.

The Role

  1. Meeting & Event Coordination

Master Scheduler: Manage and optimize meeting room bookings to prevent double-bookings and ensure priority sessions have space.

Technical Readiness: Ensure all conference rooms are equipped with necessary tech (AV, Zoom/Teams setups) and troubleshoot minor issues before meetings begin.

Hospitality: Coordinate catering for lunch-and-learns, board meetings, or client visits, and manage the "front-of-house" experience for guests.

  1. Expense & Vendor Management

Financial Tracking: Record and reconcile office expenses, managing petty cash and corporate card receipts with high accuracy.

Vendor Liaison: Act as the primary point of contact for external partners (e.g., janitorial services, snacks/coffee delivery, stationery suppliers).

Cost Optimization: Review vendor contracts annually and source competitive quotes to ensure the company receives the best value for services.

Invoice Processing: Verify and code office-related invoices for the finance team to ensure timely payments.

  1. Office Maintenance & Facility Operations

Environment Standards: Conduct daily walkthroughs to ensure common areas, kitchens, and workstations meet cleanliness and safety standards.

Maintenance Lead: Coordinate with building management for repairs (HVAC, plumbing, lighting) and oversee onsite contractors.

Supply Chain: Maintain an "always-stocked" inventory of office essentials, anticipating needs before they become urgent requests.

Your Profile

Experience: 3+ years in an administrative or office coordination role.

Financial Literacy: Comfortable with basic bookkeeping, expense reporting software (e.g., Expensify, Concur), and Excel.

Organizational Prowess: A proven ability to manage multiple "spinning plates" without letting any drop.

Communication: Clear, professional written and verbal communication for dealing with both internal executives and external vendors.

Tech Literacy: High proficiency in Microsoft 365 or Google Workspace.
