Job Description - Administrator - Office Administration & Operations Support - Hong Kong


About the Business

 


We are a team of committed office administrative personnel striving to support China firm's operation in contributing to the overall achievement of its business objectives.

This is accomplished by:

Working together with various functions and departments to ensure effective and efficient implementation of office policies and procedures

Providing a pleasant, functional and environmentally responsible working environment to our people to enable them to operate and serve our clients

Delivering a range of general administrative support services to facilitate operation efficiency and service excellence.

 


Work you'll do

 



  • Provide day-to-day office administration support across assigned functions or locations.

  • Support payment processing, invoice checking, billing follow-up, purchase requisitions, and expense administration.

  • Support booking of Firmflat, hampers, coaches, etc

  • Coordinate vendor appointments, service requests, quotations, and routine contract administration.

  • Support event logistics, internal meeting arrangements, room booking, seating requests, and office setup.

  • Handle onboarding/offboarding administration, access card requests, staff movement updates, contact lists, and office records.

  • Support document control, filing, scanning, records update, and administrative reporting.

  • Assist in monitoring office supplies, pantry items, stationery, and general service needs.

  • Coordinate courier, mailing, document dispatch, and related office support duties.

  • Follow up on outstanding requests and ensure timely completion of assigned tasks.

  • Prepare routine reports, trackers, and summaries as assigned.

  • Support projects and ad hoc administrative duties as assigned.

We are looking for someone with

 



  • Bachelor Degree in Business Administration, Facilities Management, Property Management, Hospitality, or related discipline.

  • Minimum 3 – 5 years of relevant administrative or office operations experience.

  • Experience in payment processing, vendor coordination, and office support preferred.

  • Good communication, coordination, and follow-up skills.

  • Organized, responsible, and detail-minded.

  • Able to multitask and work under deadlines.

  • Good command of English and Chinese, including Cantonese; Putonghua preferred.

  • Proficient in Microsoft Office applications.
