Department/Hospital\: Catering Department, United Christian Hospital
Pay: HK$27,413 to HK$38,290 (HGPS point 9 - 15) per month including Monthly Allowance
Up to 15% of total basic salary (after deducting the contribution of Mandatory Provident Fund by Hospital Authority) as end-of-contract gratuity may be offered to contract staff upon completion of the contract subject to satisfactory performance.
Key Responsibilities:
Perform clerical and administrative support duties following general instructions or prescribed procedures with minimal supervision. The duties include but not limited to:
1. To provide daily administrative and clerical support to Catering Services & Milk Kitchen in UCH.
2. To provide clerical duties on office administration, budget monitoring, invoice handling, supplies and procurement, equipment maintenance coordination with various departments and vendors.
3. To provide supervisory role and administrative support to facilitate audits and meetings arrangement
4. To prepare management reports, meeting notes and minutes, and handle the documentation and data analysis of the department.
5. To assist Catering Manager in planning and implementing annual departmental development plan and actively involve with all aspects of the development of the catering department and its service.
6. To assist Catering Manager to prepare documentation for Integrated Management System (IMS) accreditation (including ISO22000, ISO45001, ISO14001) and China's International Hospital Accreditation.
7. To assist Catering Manager to develop and update Standard Operating Procedures (SOPs), f departmental policies, guidelines and monitoring mechanism to ensure alignment with hospital quality, safety, and operational standards.
8. To handle daily correspondences and enquiries.
9. To verify food, consumable and materials supplies ordering and procurement, and arrangement of repair & maintenance.
10. To supervise and monitor junior clerical staff.
11. To carry out any other duties as assigned by supervisors.
Entry Requirements:
1. (a) Passes in 5 subjects in the Hong Kong Certificate of Education Examination including English Language (Syllabus B), Chinese Language and Mathematics, or equivalent.
OR
(b) 5 subjects in the Hong Kong Diploma of Secondary Education attaining the level specified below:
- Level 2 in English Language, Chinese Language and Mathematics; and
- Level 2 in New Senior Secondary subjects/ "Attained" in Applied Learning subjects/ Grade E in Other Language subjects;
or equivalent.
2. 3 years' clerical experience with good knowledge of the functions and operations in one or more of the following areas:
(a) general administration
(b) filing and records keeping
(c) supplies and stores
(d) human resources
(e) finance, accounting and statistics
(f) data input and analyses
(g) typing, word processing and/or Chinese word processing
(h) telephone operation, client communication and reception service
Preferred Attributes / Exposure:
1. Studying food nutrition, food science or related stream at a higher education institution is an advantage.
2. Working experience in Patient Catering Services and/or Milk Kitchen is an advantage.
3. Good knowledge and skills in applications of computer software including Microsoft Office, Microsoft Outlook, etc.
4. Knowledge in HA IT systems including Dietetics & Catering Management System (DCMS), Enterprise Resource Planning (ERP), Staff Rostering System (SRS)and Computer Based Maintenance Management System (CMMS).
5. Knowledge in Quality Management System (ISO 22000/ISO 45001/ISO 14001), HACCP and Food Safety Management System.
6. Good command of both spoken and written English and Chinese.
7. Good communication, interpersonal and supervisory skills.
