Provides full range of administrative support to HNW Chief Financial Officer, HNW Chief Underwriter, and other senior executives, as needed.
Accountabilities
Administrative support, including calendar management, processing of expense claims, tracking spend and GHE compliance, and carrying out any ad hoc tasks.
Travel scheduling, booking travel arrangements and accommodations/flights. Plan travel schedule including internal and external meetings.
Plans and schedules meetings, books rooms, plans offsite or in-house conferences. Coordinates logistics for these meetings and conferences with minimum supervision.
Coordinates with other secretaries of the functional heads of the BUs on administrative and functional details.
Reading and reviewing incoming emails, corresponding on behalf of the manager as necessary and within his/her scope of jobs.
Managing, organizing, and maintaining agenda, meetings, appointments; ensuring that his/her manager is well prepared for meetings;
Support other team members when applicable in administrative support
Preferred Skills
Excellent verbal and written English communication skills, with the ability to communicate effectively at all levels of the organization.
Superior organization and time management skills
Strong critical thinking and business acumen with an appetite to learn
Able to deal with ambiguity and manage multiple priorities
High regard for confidentiality.
Mature, good interpersonal skills
Professional level skills in Microsoft Office (Word, Excel, PowerPoint, OneNote, etc.), digitally proficient, and able to quickly learn enterprise applications
Experience and comfort with AI prompts and tools
Qualifications
Bachelor degree in Business Administration or related discipline.
Minimum 5 years' solid secretarial experience in serving senior executive preferred in banking or insurance industry
