Job Description - Executive Assistant Lead / Secretary Lead - Financial Services

We are seeking an experienced and proactive Executive Assistant Lead to oversee the Executive Assistant (EA) pool while providing high-level administrative support to 1-2 senior executives. This role combines hands-on executive support with team leadership responsibilities, ensuring efficient operations, consistent service standards, and a collaborative working environment within the EA function.

Team Leadership & Management
  • Lead and manage the EA/secretarial pool, including workload allocation, prioritisation, and coverage planning.
  • Conduct regular performance check-ins and formal performance review processes (e.g. performance calibration / performance circle)
  • Coach, mentor, and develop EA team members to enhance capability and career growth.
  • Set and maintain service standards, ensuring high-quality and consistent executive support
  • Address team challenges proactively, including conflict resolution and fostering a positive team culture
Executive Support
  • Provide dedicated, high-quality support to 1-2 senior executives, including complex calendar management, meeting coordination, and travel arrangements
  • Prepare reports, presentations, and correspondence with a high level of accuracy and professionalism
  • Act as a trusted gatekeeper and liaison between executives and internal/external stakeholders
  • Support confidential matters with discretion and sound judgement
Operational Excellence
  • Streamline and enhance administrative processes, driving efficiency and best practices across the EA function
  • Manage resource planning across the EA pool to ensure optimal support coverage during peak periods
  • Support business events, leadership meetings, and key initiatives as required
Stakeholder Management
  • Build strong working relationships with senior leaders, business stakeholders, and external partners
  • Manage competing priorities and expectations with professionalism and diplomacy
Requirements
  • Minimum 8-10 years of relevant experience, including experience supporting senior executives within financial services or a corporate environment
  • Proven experience in leading or mentoring administrative teams or EA pools
  • Strong experience in performance management processes, including conducting performance reviews/calibration discussions
  • Demonstrated ability to manage and resolve conflicts effectively and constructively
  • Exceptional organisational, communication, and interpersonal skills
  • High level of discretion and professionalism when handling confidential information
  • Ability to work independently, manage multiple priorities, and adapt in a fast-paced environment
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
