Our client, a well-established and sizeable organisation, is seeking a highly capable and business-savvy Executive Assistant (EA) to support the Managing Director. This role is ideal for someone with strong organisational acumen, excellent communication skills, and the ability to operate in a fast-paced, dynamic environment. You will serve as the MD's right hand, providing full-spectrum administrative and project coordination support while maintaining a high level of professionalism and confidentiality.
Your new role Executive Support
Manage the Managing Director's complex calendar, schedule meetings, and coordinate internal and external appointments.
Handle travel arrangements, logistics, itineraries, and expense management.
Prepare presentations, reports, meeting materials, and confidential documents.
Serve as the primary gatekeeper and liaison for internal stakeholders and external partners.
Project Coordination
Support the MD in driving cross-functional projects and follow up with department heads to ensure deliverables are on track.
Conduct basic research and consolidate information for decision-making.
Assist in meeting coordination, agenda preparation, minutes-taking, and action tracking.
Office & Administrative Management
Coordinate with senior executives, vendors, and business partners when required.
Maintain efficient filing systems, workflows, and documentation.
Support ad hoc tasks and business initiatives as assigned by the MD.
What you'll need to succeed
Minimum 7+ years of Executive Assistant or Personal Assistant experience in sizeable organisations.
Prior exposure in family offices, financial services, legal firms, consulting firms, multinational companies highly preferred
Strong proficiency in Microsoft Excel, PowerPoint, and Word.
Excellent command of Cantonese and English-both written and spoken.
Exceptional organisational, multitasking, and time-management skills.
Smart, business-minded, and capable of anticipating needs.
Flexible, proactive, and able to thrive in a fast-paced environment.
Strong attention to detail and a high degree of professionalism.
Passionate about learning, growth-oriented, and resilient under pressure.
