About the Role


As an Executive Secretary, you will provide comprehensive, high-level support to senior executives.


 


Key Responsibilities



  • Manage complex diaries for senior executives, including meetings, travel arrangements, and daily schedules, ensuring optimal prioritization and efficiency.

  • Draft, review, and maintain high-quality executive communications, including speeches, reports, meeting minutes, and confidential correspondence.

  • Coordinate high-level business receptions, external engagements, and guest arrangements with professionalism and discretion.

  • Track and follow up on executive directives, ensuring timely execution across departments and providing accurate progress updates.

  • Organize and support board meetings, senior management meetings, and key corporate events, including agenda preparation, minute-taking, and follow-up on action items.

  • Provide responsive support for urgent matters and ad hoc assignments from senior leadership, ensuring high-quality and timely delivery.


 


About You



  • Bachelor’s degree or above in Business Administration, Corporate Administration, Secretarial Studies, or a related discipline.

  • At least 5 years of experience as an executive secretary within a large-scale or multinational organization

  • Strong proficiency in business writing, meeting documentation, and formal document management.

  • Fluent in English (both written & spoken), with the ability to handle international communication and business reception.

  • High level of integrity with strong confidentiality awareness and professional discretion.

  • Strong execution capability, attention to detail, and ability to perform effectively under pressure.

  • Excellent interpersonal, communication, and cross-functional coordination skills.

  • Strong problem-solving ability and responsiveness in handling urgent or unexpected tasks.

  • Professional appearance, strong business etiquette, and demonstrated leadership mindset.
