The Administrative Assistant is responsible for providing support to the Chief Executive involving secretarial and administrative functions.
Job Responsibilities:
- Prepares and consolidates reports required by the Chief Executive (e.g. updating of branch website, survey on Bank products, deposit interest rates and service charges fees). Assists the Chief Executive in submission of report on time.
- Arranges schedules, meetings and official business, travel and accommodation of the Chief Executive and other personnel, as needed. Handles all other reception services such as answering of incoming calls and screening of visitors and other parties calling the Chief Executive.
- Ensures that all incoming documents are properly logged and all outgoing documents are delivered on time. Maintains proper filing system and ensures records are updated and readily available.
- Ensures that the Chief Executive is aware of client concerns. Prepares the minutes of the branch meetings. Assists the Chief Executive in monitoring punctuality and attendance of all branch personnel, preparation of business correspondences to clients and branch upkeep. Reviews and recommends for approval of the Chief Executive the supplies requested by the various units of the bank. Coordinates with other units/subsidiaries of the bank for efficient service delivery and maintain harmonious working relationship with other units as well as with external entities regarding any matter affecting the operations of the branch. Performs other administrative functions to the branch such as requisitioning/maintaining adequate supplies and forms, upkeep and maintain work area, etc.
- Ensures confidentiality of own passwords in all assigned systems. Strict compliance to Bank's Policies and Procedures, KYC and AMLA requirements, Data Privacy Guidelines and Security Quality Standards of the Bank.
- Performs other duties as may be assigned for time to time.
Qualifications:
Bachelor's degree holder, preferably in business
At least three (3) years of experience in administrative functions and can correctly and comprehensively appraise records.
Proficiency in computer and business applications
Close attention to details
Effective oral and written communication skills
Good problem solving and numerical skills
Can work under pressure
Can understand and follow specific instructions
