Job Description - OFFICE ADMIN & RECEPTIONIST

Our client is an international asset management house with an unparalleled reputation across the Asia Pacific region. With the continued growth of the organization, the need has arisen to recruit a high calibre candidate to join them.

Responsibilities

  1. Office operations: Ensuring a smooth, efficient, and professional environment.
  2. Vendor & facilities management: Manage procurement, office supplies, and vendor relationships; coordinate with building management and service providers for maintenance and facilities issues.
  3. Event coordination: Support and coordinate internal employee events and engagement activities.
  4. Meeting & space management: Manage meeting room bookings, office space setup, and ensure the workplace reflects the firm’s professional standards.
  5. Issue resolution: Act as the secondary point of contact for day‑to‑day office issues, including IT coordination, office equipment, and service troubleshooting.
  6. Reception duties: Serve as the first point of contact, greeting visitors, handling calls, and managing correspondence with a polished, professional demeanor.
  7. Supervise the tea lady and ensure reception and common areas are maintained to high standards.

Requirements

  1. Diploma or above in Business Administration, Hospitality, or a related discipline
  2. A minimum of 6 years above of relevant experience in office management, administration, or facilities coordination, preferably within financial services or a professional environment
  3. Sound interpersonal and communication skills in English, Cantonese, and Mandarin
  4. Highly organized, detail-oriented, and able to handle multiple priorities independently
  5. Professional, proactive, and service-oriented mindset
  6. Proficiency in Microsoft Office (Word, Excel, Outlook)
  7. Familiarity with Concur (expense and travel management system) is a plus
