Job Description - Resource & ICT Support Assistant

The Resource & ICT Support Assistant plays a vital role in ensuring the smooth daily operations of our school. This position is responsible for the management of school resources (including the library, art, and other supplies) and provides hands-on ICT and audio-visual (AV) support. The ideal candidate will be computer literate, possessing the technical skills to maintain digital systems alongside the organisational skills to manage physical assets.

Main Accountabilities & Key Responsibilities

1. ICT Support & Digital Asset Management 

  • Deploy and maintain school ICT resources to ensure they are fully operational for staff

  • Give technical support and act as a first-line resource for diagnosing and solving day-to-day issues. For example, when the projector is not working

  • Assist in setting up and maintaining existing and new digital school systems.

  • Liaise with central IT staff, handle IT resource orders, and maintain technical spreadsheets (including iPad app purchases, usernames, passwords, and asset numbers).

  • Set up and manage ICT equipment for meetings, workshops, and live school events (including sound, lighting, and AV systems).

2. Library System & Media Management

  • Set up and manage the school library system, including cataloguing, adding new books, and setting up new user profiles.

  • Manage the lending, return, and disposal of books, track late returns, and ensure the library environment remains tidy and inviting.

3. Physical Resource & Inventory Management

  • Maintain and audit inventory databases for general and teaching and learning resources (e.g. art resources, paper, laminates, and stationery).

  • Monitor stock levels of consumable resources.

  • Manage the purchasing of stationery, teaching materials, and school event items.

  • Directly assist teaching staff in the preparation, binding, scanning, and photocopying of educational materials.

4. General School Administration 

  • Conduct morning and afternoon "home time" door duties. Prepare and regularly check school First Aid boxes.

  • Perform general ad-hoc and other duties (filing, mailing) as assigned by the Head of School or Senior Administrator.

Competencies & Skills

  • Problem-Solving & Adaptability: Ability to diagnose ICT-related issues on the fly and adapt quickly to changing daily priorities.

  • Be friendly, patient, and professional when interacting with staff, students, and parents.

  • Organised, self-motivated, and capable of managing requests 

  • Work harmoniously and collaboratively within the school team.

  • Experience operating basic sound, lighting setups and projectors. 

  • Knowledgeable about hardware setup, operating systems, and database/spreadsheet management (Excel/Google Sheets).

Reports To: Senior Administrator/ Head of School

Minimum Education: High School/ A-Levels (Undergraduate Degree is advantageous)

Experience: Minimum 2 years in administration, within an educational environment is advantageous

Language Skills: Fluent in English, and preferably Cantonese or Mandarin
