The Document controller is a back-end support role that functions within the Projects team and is responsible for smooth flow of the order documents by creating, compiling & submitting critical documents to our customers.
As a Document controller – Projects and Execution you will be responsible for:
- Preparing and maintaining the Vendor Document Register (VDR) and Supplier Document Register (SDR) for project documentation tracking.
- Assigning document numbers to internally generated documents and incoming vendor/customer documents in accordance with established procedures.
- Receiving, recording, and distributing documents internally and externally through controlled transmittals as per the approved document distribution matrix. Manage document numbering, version control, and document retrieval systems.
- Ensuring timely and accurate management of all internal and external documents, maintaining proper quality standards and revision control. Monitor document turnaround times and follow up on pending approvals.
- Coordinating with Engineering, Quality Control, Procurement, and Project teams to ensure all documents are reviewed, approved, and submitted within the stipulated timelines. Track customer comments & prepare customer resolution sheets for internal distribution.
- Verifying document accuracy prior to submission, ensuring correct file names, revision numbers, document status, and transmittal details to avoid discrepancies.
- Ensuring that only the latest approved revisions of documents and drawings are issued to relevant stakeholders for execution, reference, and record purposes. Develop, maintain, and regularly update the Project Document Control Register to facilitate effective document tracking and reporting.
- Managing and monitor the complete document lifecycle, ensuring proper recording, filing, and traceability across all departments.
- Compiling, printing, and maintaining hard-copy documentation packages, including Final Data Books and Manufacturing Record Books (MRBs) for project orders. Coordinate with customers and internal departments to achieve timely approval and closure of final project documentation.
- Liaising with vendors and subcontractors to obtain required documentation and arrange complete hard-copy document sets as per contractual requirements. Arrange dispatch and courier of approved documentation packages to client offices and project sites in accordance with project specifications and delivery schedules.
Fuel your passion
- Have a Bachelor's Degree or Diploma in Engineering, Business Administration, or related field.
- Have 2–5 years of experience in document control, preferably in manufacturing, engineering, oil & gas, EPC, or construction industries.
- Have a Knowledge of ISO 9001 documentation requirements is preferred.
- Have a Strong knowledge of document control procedures and quality management systems.
- Be Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Have experience with Document Management Systems (DMS), EDMS, or ERP software.
- Have excellent organizational and communication skills.
- Be Attention to detail and accuracy.
- Have ability to work under pressure and meet project deadlines.
- Have sincere dedication to the best interests of the company, its customers and employees
- Have Willingness to take ownership of task and drive other departments to accomplish same to satisfy customer requirements
- Have a Quality, accuracy and safety oriented Ability to stay on task and manage time efficiently to meet deadlines.
