About the Role We’re seeking a dynamic and resourceful Executive Assistant to partner closely with our Director—someone who thrives in fast-paced environments, anticipates needs before they arise, and turns complexity into clarity. You’ll be more than a coordinator: you’ll be a trusted extension of leadership, helping shape priorities, streamline workflows, and ensure seamless execution across teams and geographies.
In this high-impact role, you’ll manage a demanding schedule, lead cross-functional coordination, safeguard sensitive information, and harness technology—including AI—to elevate efficiency and insight. If you’re detail-oriented, discreet, and energised by supporting strategic leadership, this could be the perfect next step for you.
What You’ll Do
Executive & Calendar Leadership - Own the Director’s calendar with precision—balancing priorities, blocking focus time, and optimising availability. - Proactively prepare for meetings: draft agendas, assemble background materials, and anticipate questions. - Track action items post-meeting and ensure follow-through across teams.
Strategic Follow-Up & Collaboration - Serve as the Director’s “eyes and ears”—monitoring progress on key initiatives and escalating blockers early. - Build strong relationships across departments to keep projects moving and decisions aligned. - Act as a trusted liaison, ensuring clear, consistent communication between leadership and stakeholders.
Insightful Documentation & Reporting - Transform raw inputs into compelling reports, presentations, and management summaries. - Maintain a clean, searchable knowledge base—making information easy to retrieve and reuse. - Support business reviews, strategy sessions, and investor communications with polished deliverables.
Professional & Discreet Communication - Craft clear, confident, and tone-appropriate messages—whether internal, external, or executive-facing. - Handle confidential matters with integrity, judgment, and unwavering discretion.
Seamless Travel & Event Execution - Plan complex domestic and international itineraries—accounting for time zones, preferences, and last-minute changes. - Help bring key meetings, offsites, and leadership events to life, from logistics to post-event summaries.
Confidentiality as a Core Value - Treat sensitive data—financial, HR, strategic—with the highest level of professionalism and security.
Embracing Innovation & AI - Use AI tools (e.g., ChatGPT, Claude, Gemini) to accelerate research, drafting, analysis, and task automation. - Continuously explore smarter ways to work—testing new tech, refining workflows, and sharing best practices.
What Makes You a Great Fit

✔️ Polished communicator (written & verbal) with an eye for nuance and tone.
✔️ Proactive problem-solver who spots gaps and offers solutions before asked.
✔️ Comfortable working with ambiguity and adapting quickly to shifting demands.
✔️ Tech-savvy and curious—excited to leverage AI, collaboration tools, and productivity platforms.
✔️ Discreet, diplomatic, and deeply reliable.
Qualifications & Experience
Bachelor’s degree in any discipline; MBA or professional certification is a plus.
5+ years in executive support—ideally as an EA/PA to a Director, CXO, Founder, or senior leadership.
Experience in dynamic, growth-oriented organisations (startups, scale-ups, or multinational corporates).
